Job Responsibilities:
  • Manage administrative functions and support operations remotely, including maintaining virtual files, organizing online resources, and ensuring access to necessary tools.
  • Regularly visit and work onsite at schools within the designated region, typically 1-2 days per week.
  • Develop, implement, and improve administrative processes to enhance operational efficiency and achieve organizational goals.
  • Review and analyze operational data to provide actionable recommendations to senior leadership.
  • Coordinate virtual meetings, webinars, and team activities to foster a connected and productive work environment.
  • Organize and manage schedules for team members, senior leadership, or departments, managing both virtual and in office meetings.
  • Arrange virtual meetings, video conferences, and online appointments, ensuring all participants are well-prepared and agendas are shared in advance.
  • Organize meetings, conferences, and appointments, ensuring necessary logistics are handled for both in-person and remote attendees.
  • Direct and coordinate the development of office managers and administrative assistants.
  • Draft, review, and distribute communication materials, reports, and presentations.
  • Maintain and regularly update contact lists, databases, and other documentation in shared online systems.
  • Provide support for project planning and execution, coordinating digital resources, tracking timelines, and monitoring project progress.
  • Support budget management by tracking expenses, processing invoices, and maintaining records.
  • Identify opportunities for cost savings or process improvements where applicable.
Qualifications:
  • Bachelor's degree in Business Administration, Office Management, or a related field.
  • Minimum 3 years in an administrative, coordinator, or similar role
  • Ability to travel locally and work onsite 1-2 days per week.
  • Ability to work independently, prioritize, and manage multiple remote tasks effectively.
  • Demonstrate ability to manage high-level projects and exercise independent judgment on significant matters.
  • Strong critical-thinking skills, able to anticipate needs and address issues proactively.
  • Adaptable to changing priorities, workflows, and technology in a remote environment.
  • Proficiency in MS Office Suite, Google, and other collaboration tools.
  • Strong verbal and written communication skills, able to correspond effectively across remove and in-person settings.
  • Strong attention to detail, independent multitasking abilities, and efficient time management.
  • Positive, professional, and capable of collaborating across remote and in-person environments.
Preferred/Nice to have:
  • Previous supervisor and/or managerial experience.
