Position Summary
Columbia Residential manages a portfolio of 149 graduate and faculty residential buildings around the Morningside Heights campus as well as in Manhattan Valley and Riverdale, Bronx. The department is responsible for routine operations and maintenance of over 5,700 University-owned or managed units which are used to house eligible students, fellows, and faculty and certain eligible officers of research, libraries, and administration.
The Senior Associate, Leasing Services & Compliance plays a pivotal role in managing leasing operations, compliance, and landlord/tenant interactions within Columbia Residential's portfolio. This role supports the Director of Leasing Services by overseeing key landlord/tenant practices, implementing compliance measures, and ensuring all leasing activities meet legal standards and organizational objectives.
Responsibilities
* Document Preparation and Management: Draft, review, amend, and manage the execution of lease agreements, including amendments, renewals, and terminations. Ensure all documents comply with legal and organizational requirements.
* Stakeholder Coordination: Act as the main point of contact between tenants, property managers, and external legal counsel. Ensure leasing documents accurately reflect all negotiated terms. Collaborate with outside counsel to manage daily landlord/tenant matters, offering strategic guidance and providing necessary documentation.
* Compliance and Reporting: Develop and implement protocols to ensure leasing activities remain compliant with legal standards. Oversee the preparation and submission of reports and documentation for internal audits and reviews.
* Legal Research: Conduct thorough research on property laws, zoning regulations, and compliance standards. Summarize findings and offer strategic recommendations to leadership.
* Database Management: Maintain and update leasing databases and document management systems, ensuring accurate record-keeping and easy access to transaction data.
* Project Support: Assist in special projects related to leasing and real estate transactions. Manage compliance processes, including RC50 and vacancy decontrol documentation.
* Training and Updates: Provide training and updates on city and state regulations related to leasing for both rent-regulated and exempt units.
Minimum Qualifications
* Bachelor's degree required. Paralegal certification is preferred.
* Minimum of 3 years of relevant experience in a legal role with a focus on leasing and compliance.
* Strong understanding of landlord/tenant laws, fair housing laws, and compliance regulations.
* Excellent communication, negotiation, and organizational skills.
* Ability to handle sensitive situations with diligence and empathy.
* Proficiency in legal document drafting and review, excellent research and analytical skills, strong communication and interpersonal abilities, and adept at managing multiple priorities.
* Proficient in the use of property management software and Microsoft Office Suite.
* Experience in managing compliance for rent-stabilized and rent-controlled housing.
* Familiarity with Columbia University policies and procedures and New York housing regulations.
