Within DCF, the Substance Abuse and Mental Health (SAMH) Program office is recognized as the single state authority for substance abuse and mental health services. The Office of SAMH is statutorily responsible for the planning, evaluation, and implementation of a comprehensive statewide system of care for the prevention, treatment, and recovery of children and adults with serious mental illnesses or substance use disorders .

Northeast Florida State Hospital (NEFSH) is a 613-bed, licensed mental health treatment facility that provides person-centered services to adults suffering from severe and persistent mental illness. The hospital, located in Macclenny, was established in 1959 and is the largest state operated civil treatment facility.

This is a highly responsible and professional position that will serve as a Senior Clerk at the Northeast Florida State Hospital. T his position will collaborate with each section within the state facilities and be required to use independent judgement, take initiative in carrying out duties and responsibilities and should be extraordinarily detail oriented.

Specific Duties and Responsibilities include:

+ This position acts as a clerk in Admission Services Department of a very large mental health hospital.

+ Compiles and verifies daily census report which involves tracking and monitoring of all movement during each 24-hour period.

+ Tracks vacancies and coordinates with contact person all inter-hospital movement.

+ Daily inputs detailed admission, discharge and transfer data.

+ Prints reports including Admission/separations, Transfers, Daily Census, Ward Count,

+ Movement, Unit/Census and Bed Allocation.

+ Checks for accuracy and distributes to appropriate units/departments.

+ Researches and verifies information of previous admissions. Compiles master medical chart on each admission and initiates all required documents.

+ Completes data input in Database.

+ Notifies dietary, living area staff, and assigned psychiatrist, at time of arrival of each new admission.

+ Notifies each admission's representative of admission by mail.

+ Responsible for reviewing all completed face sheets for completeness and accuracy.

+ Receives, reviews, and processes community pass and discharge forms. Processes identification pictures and cards for each admission and assists with personnel identification process.

+ Screens phone calls and handles as necessary. Includes calls from community mental health agencies, as well as inter-facility staff.

+ Orders supplies and forms required by the department.

+ Maintains filing of reports within Admission Services.

+ Receives and screens mail, bringing priority items to attention of Unit Director.

+ Maintains calendar for meetings and appointments.

+ Attends inservice training and performs duties as assigned by the supervisor.

Knowledge, Skills and Abilities required for the position:

+ Knowledge of general office procedures and practices.

Minimum Qualifications:

+ Two years of secretarial or clerical work experience.

+ College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.

+ Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.

+ A high school diploma or its equivalent can substitute for one year of the required work experience.
