Job Description:

Summary

Reporting to the Manager of Gift Recording, the Senior Development Associate, Gift Processing provides key support to the MEE Development team. The role is responsible for the accurate processing of gifts and pledges, preparing acknowledgments, and sending reminders. Thisposition also entails creating and maintaining donor and biographical information in the database with the highest level of accuracy. Additional duties include collaborating with the other Development office staff to develop and introduce efficiency related to gift processing operations and assist with various data projects.

Role and Responsibilities

  • Accurately and promptly collect, input, and process gifts into the Blackbaud CRM donor database, adhering to Mass General Brigham Gift Acceptance policies, MEE gift procedures, and IRS guidelines.
  • Perform high-level data entry for all types of gifts, including but not limited to cash, checks, credit card donations, pledges, stock gifts, gifts-in-kind, estate distributions, planned gifts, and payroll deductions.
  • Confirm and process matching gifts, communicating with matching gift companies when necessary to retrieve gifts, make inquiries, complete documentation, and resolve issues.
  • Prepare and review acknowledgment letters, tax receipts, and tribute notifications within Mass General Brigham's 24-48 hour standard, identifying situations requiring special handling and ensuring prompt follow-up.
  • Research gift information and create biographical records for donors, prospects, and organizations.
  • Participate in maintaining data integrity within the constituent database by making necessary data edits, resolving duplicate records, and proactively identifying areas for data cleanup.
  • Provide exemplary customer service while fielding gift-related questions and issues.
  • Participate in the review and maintenance of MEE-specific gift processing procedures to maximize efficiencies.
  • Assume back-up responsibilities for the Manager of Gift Recording.
  • Act as a resource for MEE Development staff on issues related to gifts, receipts, and correspondence.
  • Prepare monthly pledge reminders.
  • Manage the auto-generated monthly physicians report of all gifts made to support their work.
  • Answer department telephones, take messages, refer callers, and return calls to provide information.
  • Support other activities of the development staff as needed.
  • Remain flexible and responsive to changing transaction volumes, office needs, and shifting priorities.
  • Qualifications

    Education

  • Associate's degree in business with 3-5 years of demonstrated success in gift processing and data entry in a high-volume fundraising operation.
  • Bachelor's degree and proficiency in Blackbaud CRM or Raiser's Edge NXT preferred.

  • Job Knowledge/Skills

  • Experience with Blackbaud CRM, Raiser's Edge, or similar fundraising databases preferred.
  • Familiarity with various types of charitable donations and giving guidelines.
  • Strong command of Microsoft Office 365 applications.
  • High level of accuracy and attention to detail, with proactive execution of assigned duties.
  • Excellent administrative, organizational, and project management skills.
  • Strong commitment to quality work and customer service.
