The Senior Events Manager leads our global events team, manages event vendor relations, and is responsible for overseeing the coordination of all aspects of the firm's in-person and virtual events and webinars. From developing event strategies and approaches to managing event preparation and execution, the Senior Events Manager will directly impact and help shape the overall vision for and success of all the firm's high-profile and marquee events. Working directly with firm and practice leadership and collaborating with marketing, communications and business development colleagues, the Senior Events Manager will set direction for and evaluate and recommend improvements to individual events and overall firm events strategy. This is a very visible role within the firm and is an ideal position in which a highly motivated and creative events professional can take a leading role and have a real and powerful impact on the overall direction of event marketing efforts across the firm.Responsibilities
- Consult and advise on strategic planning and play decision-making role on events firm wide. Instrumental in developing overall event strategy and theme.
- Provide strong on-site presence at live events and expert, detailed coordination for virtual or hybrid events ensuring flawless execution in both environments.
- Manage firm Events calendar, assign planning and on-site/virtual resources.
- Work closely with multiple teams within the Client Development Department to include; Creative for assets, Business Development for business objectives, agenda topics and client audience identification, and Communications for social media and media campaigns
- Work closely with the Director of Marketing Operations to forecast events and target initiatives for specific practices
- Event production responsibilities include, site/platform research and selection, contract negotiation, run-of-show production, branding, AV/tech set-ups, day of material setup, registration management, follow up materials, post event-evaluation and data management of attendees.
- Produce and distribute event materials including; save-the-dates, invitations, handouts, PowerPoint presentations, evaluation forms, name tags, and other branded takeaways. Work with creative team to develop event invitations in Vuture, create and test event registration forms. Create and schedule all event related mailing correspondence and follow ups.
- Monitor attendance and create RSVP and attendance reports (using InterAction). Distribute to key stake holders and BDM's on biweekly basis.
- Prepare ad-hoc reports and conduct post-event debrief meetings, document feedback and prepare recommendations for future events.
- Provide timely replies to all event-related inquiries
- Assist with management of inventory of firm-branded gifts and giveaways by budgeting for, researching and recommending items that appropriately and effectively promote brand awareness.
- Participate in developing and contributing to best practices for the Events Team and department.
Qualifications
- Bachelor's degree in Marketing, Communications or Business preferred
- Minimum of eight years of experience in event planning; energetic, motivated, and detailed-oriented
- Excellent collaborator and networker with a keen eye for detail and a flare for creating memorable professional events experiences
- Strong project management, organizational, problem-solving and analytical skills
- Excellent oral and written communication skills, including ability to confidently work with all levels of lawyers, senior management, clients etc.
- Ability to multi-task, meet multiple tight deadlines and perform well under pressure
- Proficiency with Microsoft Office
- Well versed in virtual platforms such as WebEx and Zoom
- Knowledge of Vuture, InterAction, or other contact management database is preferred
- Comfortable with online webinar platforms for event production
- Must be flexible and a team player who enjoys interacting with people.
- Must be willing to travel to in-person events
This position will require physical presence in Proskauer's offices on a regular basis (at least 3x per week, or more, if it becomes the policy of the Firm or as business needs require). The anticipated compensation range for this position is $170,000 - $210,000.
