The Position

Liberty Mutual Investments has an exciting opportunity for a highly qualified Senior Executive Assistant to join the Administrative Services team supporting senior leaders within the Global Investment Solutions business unit.

Provides administrative support for executives while exercising confidentiality, tact, and diplomacy. Manages executive calendars, prepares materials for meetings, triages communications, coordinates and optimizes executive travel plans, and helps to keep executives focused and on schedule. The essence of the role is to enable executives supported to be more productive with their time and to work as efficiently and effectively as possible.

This position will work in the office Tuesday, Wednesday and Thursday of every week.

Responsibilities:

  • Heavy management of complex calendars, acts as a gatekeeper to prioritize meetings and manage scheduling conflicts.
  • Assists the executive with preparing for meetings, including obtaining and distributing materials, and keeping the executive on schedule.
  • Coordinates and/or assists with team meetings and event planning.
  • Optimizes travel arrangements based on the executive's needs and preferences.
  • Greets and assists planned guests and manages unannounced visitors.
  • Prepares, updates and organizes information for various reports and presentations.
  • Sorts, screens and distributes incoming and outgoing mail for the executive(s).
  • Assists in keeping the executive highly organized, including online retrieval and archiving of documents.
  • Solid knowledge of administrative procedures and software applications.
  • Excellent organizational skills, time management skills, and attention to detail.
  • Displays a high degree of professionalism to maintain confidentiality and build relationships.
  • Strong ability to respond to challenging people and circumstances with diplomacy and tact.
  • Competencies typically acquired through an associate's degree (or equivalent) and 6 to 8 years of relevant administrative experience.
  • Investments experience or background preferred.

Qualifications

  • Solid knowledge of administrative procedures and software applications.
  • Excellent organizational skills, time management skills, and attention to detail.
  • Displays a high degree of professionalism in maintaining confidentiality.
  • Strong ability to read complex settings and respond to challenging circumstances.
  • Competencies typically acquired through an associate's degree (or equivalent) and 6 to 8 years of relevant administrative experience.
