The Alaka`ina Foundation Family of Companies (FOCs) is looking for a Senior Executive Assistant to support our government customer located in Arlington, Virginia.
The selected individual will provide support to the Naval Information Warfare Systems Command's (NAVWAR's) Program Executive Office (PEO) for Manpower, Logistics and Business Solutions (MLB) located in the National Capital Region (NCR). The PEO MLB program encompasses Administrative, Total Force Management Support, and Corporate Communications & Public Affairs Support, Command Operations, and Support, and IT Management Support services.
The Senior Executive Assistant plays a key role in collaborating with leadership and project teams to meet the business objectives of the organization and maintain flow of operations. The ideal candidate will coordinate and collaborate with internal/external partners for scheduling, travel preparation, business product coordination in support of PEO MLB and NAVWAR guidance/direction. This position is located at the Washinton Navy Yard.
DESCRIPTION OF RESPONSIBILITIES:
+ Assist the Government to complete action items by independently gathering, tracking, and analyzing data, coordinating inputs, and collaborating with stakeholders to complete assigned action items.
+ Assist/facilitate preparation of program documentation tailored to intended audiences. Program documentation may be recurring or ad-hoc. Examples of program documentation include briefings, executive summaries, white papers, issue papers, reports, assessments, studies, analyses, reclamas, e-mails, charts, graphics, spreadsheets, multimedia presentations, diagrams, surveys, metrics, and Naval messages.
+ Provide administrative support for the assigned Government organization such as: support to manage action items via action tracker tools to support requirements, calendar support through maintaining up-to-date and accurate appointments, events, office, and conference and conference room calendars, and serve as the point of contact authorized to schedule and reserve assigned conference rooms.
+ Perform clerical duties, to include assisting with successful management which involves activities such as: Gathering inputs for data calls and drafting responses.
+ Provide meeting support such as: documenting meeting minutes and finalizing and distributing those minutes as directed within the schedule established by the requestor, and coordinating meetings, notifying participants, providing agendas, directions, and arranging for appropriate equipment/services.
+ Provide support for mail-related functions, such as: receiving, opening, reviewing, and routing mail, and preparing documents for distribution, including proper addressing and postage.
+ Provide records management support such as: collecting, organizing, filing, and retrieving documentation filed in accordance with SECNAV Manual-5201.2 Records Management Program and local directives and procedures.
+ Provide support for e-mail management, such as: copying, summarizing, and routing e-mail traffic to designated government personnel, monitoring the SIPRNET/NIPRNET (if required) for urgent message traffic, and receive and route such traffic to the recipient, and drafting messages in the correct format for release.
+ Provide travel support such as: coordinate and schedule official travel plans in accordance with the Defense Travel System (DTS) governance and filing final vouchers.
+ Other duties as assigned by Supervisor.
REQUIRED DEGREE/EDUCATION/CERTIFICATION:
Master's Degree plus ten (+10) years' relevant experience. Substitution: Bachelor's Degree plus four (+4) years (14 yrs total) of additional relevant work experience.
REQUIRED SKILLS AND EXPERIENCE:
+ Specialized administrative support experience with a Navy acquisition program or related/comparable administrative support experience with Department of Defense (DoD) agencies.
+ Experience applying the Navy Correspondence Manual to assigned duties.
+ Excellent oral and written skills.
+ Excellent critical thinking skills.
+ Proficient in Microsoft applications such as Word, Excel, PowerPoint, and Outlook. (Microsoft Office 365 Suite, ETMS2, and Defense Travel System (DTS)).
+ Ability to work independently and as a team member.
+ Ability to learn and apply administrative support concepts to assigned duties.
REQUIRED CITIZENSHIP AND CLEARANCE:
+ Must be a U.S. Citizen
+ Active Secret clearance required.
