Position Summary:

UTHealth Houston is looking for a Senior Gift Assurance Officer to work in our Office of Development (within our fundraising operations team). This person will be responsible for ensuring that gifts, both endowed and non-endowed, are used according to the contributors' wishes. They will also be responsible for ensuring the University complies with philanthropic funding instructions, requests, and legislative regulations. You will assist in establishing new philanthropic accounts. You will also analyze philanthropic accounts and generate reports (or review reports) on how they are being used. The Senior Gift Assurance Officer must be able to collaborate effectively with faculty and administrators across the University.

Working with Development Officers to draft gift agreements will be a typical role in this job. You will also regularly review and analyze financial information, identify/correct issues, and create spending plans with faculty and administrators when needed. You will use Excel and other IT systems (such as PeopleSoft and fundraising databases) on a daily basis. Having a background in either philanthropy, research administration, or education administration is desirable, with at least three years of related experience. Any experience with donor stewardship is a plus.

This role will work primarily remotely with special, periodic projects in Texas Medical Center. The position is eligible for all UTHealth Houston benefits, including medical coverage and a pension run by the State of Texas.

Position Key Accountabilities:

1. Serves as lead gift assurance officer in matters related to daily operations of the gift assurance functions

2. Develops, reviews, and edits contributor gift instruments, including endowment agreements

3. Develop and implement a training program for faculty and staff to ensure that they understand their responsibilities in following the rules and regulations applicable to gift funds, both endowed and non-endowed

4. Communicates gift restrictions to the account signatories and others responsible for spending gift funds

5. Monitors adherence to gift restrictions and brings concerns to the attention of the Vice President for Institutional Advancement, the Managing Director of Advancement Operations, and, as appropriate, the Endowment Compliance Committee

6. Reviews and reports to executive management irregularities in gift fund expenditures, per UTHSC-H policy and procedures

7. Coordinates with the Post-Award Finance team to review expenditures against endowments to ensure the appropriate use of endowed funds

8. Ensures accurate and timely investment of endowment gift funds

9. Works with gift administration staff to ensure accurate recordkeeping of gifts

10. Respond to inquiries from contributors, faculty and staff

11. Mediates endowment compliance issues

12. Develop and implement controls to minimize risks in the use of gift funds. Participates in risk assessment of issues related to gift funds.

13. Prepares and reviews University and UT System reports related to endowments, with particular attention to accuracy and timeliness of submissions

14. Prepares annual reports to be sent to endowment contributors

15. Works with stewardship staff in the Office of Institutional Advancement to ensure that gifts are stewarded according to the university's stewardship plan

16. Serves as lead liaison between the university and the UT System Office of External Relations

17. Identifies, recommends and implements process and procedure improvement opportunities as well as database modifications to enhance gift assurance operations

18. Responsible for ensuring confidentiality and integrity of contributor information

19. Other duties as assigned

Certification/Skills:

Excellent communication skills, both oral and in writing. Proficiency in Microsoft Office suite, particularly Outlook, Word and Excel. Skills with relational databases. Exceptional critical thinking skills and attention to detail.

Minimum Education:

Bachelor's degree required. Master's degree preferred.

Minimum Experience:

Three (3) years of related experience, preferably in compliance and/or quality assurance, and preferably in a higher education fundraising environment.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

Residency Requirement:

Employees must permanently reside and work in the State of Texas.
