Overview

The Senior Operations Specialist position is responsible for supporting and enhancing customer service throughout an assigned region, using expertise in MFA Oil Company operations to assess training needs, identify and develop resources, deliver training, and support communications and implementation of new initiatives. In addition, this position may perform the daily duties of the operations or field support as directed.

Responsibilities

* In coordination with BPLP management, assess training needs for new and existing BPLP plant employees

* Identify internal and external training programs to address competency gaps, and deliver or coordinate participation in appropriate training

* Develop training aids such as manuals and handbooks specific to BPLP customer service and operational functions

* Facilitate learning through a variety of delivery methods including classroom instruction and on-the-job coaching, personally delivering training to individuals and/or groups of employees as needed

* Evaluate and make recommendations on training material and methodology

* Handle logistics for training activities including venues and equipment

* Assist in the setup, testing, training, and implementation of company initiatives, including new policies and procedures

* Assist with inventory processing and correcting data issues within the assigned region

* Support regional user groups with new technology, processes, and system enhancements including training and troubleshooting

* Facilitate timely and accurate communication between assigned plants and the home office. Act as a liaison in ensuring understanding and resolving issues that arise.

* As needed, perform Customer Service Representative functions to cover an office during an absence or vacancy, including:

* In an accurate and timely manner, complete daily sales, inventory and deposit reporting

* Make sure daily sales and receipts are listed accurately on monthly stock sheets

* Ensure that customer payments are completed accurately and applied to the correct account

* Ensure that petty cash reimbursements are completed accurately, and that proper supporting documentation is attached

* Assist manager in securing all tax exemption forms (FE7, MO1, etc.) Make sure they are complete and maintain a file on all forms

* Answer phones, greet customers, and satisfy routine requests courteously

* Enter customer orders into the system to be fulfilled

* Be sure that all out of gas calls are notified of MFA Oil's Out of Gas procedures

* Assist plant personnel with ensuring proper new customer documentation is completed, including required safety documentation and forms, credit application, loaned equipment agreements, propane tank leases

* As needed, provide guidance related to sales and collection of accounts receivable

* Follow posted work schedule and adhere to proper clocking procedures to accurately reflect hours worked

* All MFA Oil employees are expected to know and adhere to company and position specific policies and procedures. While this job description contains the primary duties of the position, employees may be expected to perform other duties as assigned.

Job Requirements

* High school diploma or equivalent

* Three years of customer service or other applicable work experience

* Basic understanding of accounting principles

* Ability to consistently operate a computer and other office productivity machinery including Microsoft Office products

* Capability to learn new concepts and use technical materials

* Strong oral and written communication skills, including the ability to clearly and accurately present information in both individual and group settings

* Ability to perform mathematical calculations to make change, complete reports, and account for products

* Ability to set priorities and goals and develop plans for achieving them

* Ability to work both independently and in a team environment

* Ability to grasp new concepts quickly

* Ability to visually observe and inspect items and work environment for regular job responsibilities and safety concerns

* Physical ability to remain in a stationary position (standing and/or sitting) for up to nine hours per shift

* Physical ability to move and position self to move and retrieve products and supplies from shelves under counters or stacks of inventory weighing up to 50 pounds

* Ability and willingness to work with hazardous materials

* At least 18 years of age

* Valid driver's license

* Travel is expected up to 50% with occasional overnights to trainings or meetings

* Ability to exchange accurate information verbally and in written form with the customers of MFA Oil in English

* Ability to meet Company requirements, including successful pre-employment background and MVR check, and drug test.

* Legal authorization to work in the United States

Preferred Skills

* Associates degree or bachelor's degree

* Knowledge of JD Edwards' programs

* Experience in MFA Oil Company operations

* Experience with presentation, facilitation, and coaching

* Ability to meet deadlines with a high degree of time management

* Excellent analytical, organizational, and creative problem-solving skills

* Ability to perform detail work with accuracy

* Ability to work at a fast pace
