With over 12 billion die in stock, Rochester can manufacture over 70,000 device types.General SummaryThe Senior Payroll Specialist position is responsible for performing a variety of complex administrative, technical, and professional work in Payroll and HRIS systems. Processes the payroll accurately and on schedule for both domestic and multi-national payrolls. Acts as primary contact with third party payroll provider. Responsible for accounting activities related to wages and benefits. Provides back-up support to the payroll specialist and other finance areas as requested. Able to work a flexible schedule to process payroll during holiday seasons.Responsibilities
  • Manages and reconciles all employee time worked and any other pay, including deductions. Verifies all employee deductions for each payroll, including for benefits and other transactions.
  • Audits, analyses, and reconciles multiple payroll reports to ensure changes are accurate before finalizing the payroll, i.e., bi-weekly, monthly.
  • Acts as primary backup and provide ongoing support for the payroll specialist and manager as needed.
  • Manages and creates payroll codes in the ADP system and sets up and reconciles voluntary payroll deductions.
  • Manages all year-end payroll tasks, including but not limited to approval of annual W-2s.
  • Manages new state jurisdiction registration. Works with CPA to get final approval before submitting registration to the state.
  • Communicate professionally with department heads, staff, and finance to review cross-departmental impacts and reconcile data sharing.
  • Identifies areas of opportunity to improve existing ERP processes, functionality, and workflow and maximizes technological capabilities to reduce manual processes and improve data management and efficiency.
  • Keeps current with changing payroll policies and government regulations via ADP notifications and applies changes when needed. Also, follows and remains current on changes in tax and deduction laws.
  • Provides guidance and proactive coaching to the payroll specialist.
  • Prepares manual payroll checks as required relating to payroll errors, adjustments, and terminations.
  • Performs W-2 audit on amendments and adjustments prior to the Company W-2 forms being released.
  • Prepares journal entries on an ongoing basis. Provide final month-end entry spreadsheets to accounting.
  • Prepares the monthly reconciliation and journal creation of Flex Spending and Health Plan. Submit to Accounting for month-end entry.
  • Utilizes tools to develop custom reporting out of the ADP system and acts as a point of contact to all users on retrieving data from the system to meet their needs.
  • Creates and/or audits reports relating to payroll, headcount, and other ad hoc reports for CPA as requested.
  • Prepares supporting documentation for the annual worker's compensation audit and acts as the primary point of contact for CPA.
  • Resolves discrepancies in terms of in/out time punches or unapproved timecards with supervisors who have not completed the process in ADP.
  • Assists on ad-hoc payroll projects directed by the manager.
  • Participates in ADP educational opportunities and recommends process improvements.
  • Updates all payroll-related SOPs as needed for changes in process, roles, and software application.
  • May be requested to perform other duties not mentioned above.
Qualifications
  • Bachelor's degree required in business, human resources, or similar field.
  • Minimum 5 to 7 years required of demonstrated hands-on work experience processing payroll with ADP payroll system or comparable automated payroll system.
  • Proficient knowledge of the principles, practices, laws, regulations, and procedures of automated multi-national payroll systems.
  • Knowledge of automated payroll systems, which include configuration and testing to meet business needs.
  • Proficient knowledge of Federal, State, and local laws pertaining to payroll practices, including pre- and post-tax deductions, annual payroll reporting requirements, ACA, and other related legislation.
  • Well-developed analytical abilities to prepare comprehensive reports and carry out assignments as requested.
  • Possess expert-level knowledge and proficiency in using MS Office, i.e., Word, Excel, and PowerPoint.
  • Ensure that all deadlines and required reporting are met on a consistent basis, including during holiday periods.
  • Ability to communicate professionally and effectively with all levels of staff within the organization and external stakeholders to include oral and written communication.
  • Possess a high degree of attention to detail and accuracy.
  • Ability to work independently or in a team environment with minimal supervision.
  • Ability to maintain strict confidentiality.
