Job Description:

1. POSITION TITLE: Senior Staff Assistant

2. DEPARTMENT: Building Inspection

3. PAY GRADE: 340 (Non-exempt)

4. SALARY: $40,440.00 plus ICC certification pay

5. GENERAL DESCRIPTION OF THE WORK OF THE POSITION:

Performs primary secretarial duties for the building inspection and rental registration program; does related work for the department as required. General office support, handling mail, answering phone, filing, typing, creating and utilizing spreadsheets, scheduling appointments, waiting on customers, assisting customers with applications, issuing permits, generating reports, attend board of appeals meetings and prepare minutes from the meetings. Attendance at work is an essential function of this position.

6. DUTIES OF THE POSITION (ILLUSTRATIVE ONLY):

Excellent customer service skills, establishes and maintains effective working relationships with other employees, officials, and general public; Interacts extensively with the public, especially homeowners, contractors, engineers and architects; Performs administrative duties such as typing, creating and working with spreadsheets, prepares computer generated reports, filing, screening telephone calls, scheduling appointments, assisting customers with department related permits/applications and performs tasks assigned by the Building Inspector or City Manager. May be required to attend meetings to take minutes and prepare those minutes as the official written record; Performs bookkeeping duties; Prepares purchase requisitions, vouchers, reconciles purchasing card statements and maintains necessary related files; Maintains confidential files; Manages special projects for department as required. Other duties may be assigned to the position by the Building Inspector, City Manager or their designee.

7. DESCRIPTION OF SUPERVISION RECEIVED BY AN INCUMBENT OF THIS POSITION:

The incumbent of this position works directly under the supervision of the Building Inspector or designee.

8. DESCRIPTION OF SUPERVISION EXERCISED BY AN INCUMBENT OF THIS POSITION:

No authority is granted.

9. KNOWLEDGES, SKILLS AND ABILITIES REQUIRED FOR PERFORMANCE OF THE WORK:

Good knowledge of modern office practices, procedures and personal computers and the ability to utilize software packages designed for such computers and other office equipment as needed; considerable knowledge of commercial math; ability to handle the disposition of complaints and requests for information; proficiency in Microsoft Outlook, Word and Excel, including but not limited to spelling, grammar and formatting documents; ability to prepare effective correspondence on routine matters and office management details with only general supervision; ability to maintain effective working relationship with other employees and the general public; Ability to communicate, both written and orally; Ability to prioritize work and meet deadlines.

10. EDUCATION AND/OR EXPERIENCE NECESSARY FOR WORK PREPARATION:

High school diploma including or supplemented by courses in secretarial sciences, business or commercial subjects; considerable experience in clerical work including experience as a secretary, with a minimum of two years' experience; substantial experience in performing clerical work of a progressively responsible nature; or any equivalent combination of experience and training which provides the above-mentioned required knowledge, skills and abilities.

It is required that the incumbent of this position obtain an ICC (International Code Council) Permit Technician certification within two (2) years from date of hire.

The noise level in the work environment is that of a typical office. While performing the duties of this job, the employee is regularly required to sit at a desk for prolonged periods of time; use hands and fingers to file, write, answer phone and for use of computer keyboard, copy machine and other miscellaneous office equipment. Employee must be able to reach with hands and arms, talk clearly, hear and be able to speak publicly. The employee is frequently required to walk or stand. The employee is occasionally required to stoop, kneel, crouch or crawl. The employee must be able to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Work is primarily conducted indoors.
