- Graduation from high school, possession of a high school equivalency diploma, or a high school individual education plan diploma
AND Either:
Graduation from a regionally accredited college or university or one accredited by the New York State Board of Regents to grant degrees with an Associate's degree in secretarial science or a closely related field which must have included a course in typing, keyboarding or word processing; OR Two years of clerical experience which shall have involved typing: OR An equivalent combination of training and experience as defined by the limits of (a) and (b) above. Job Duties:
- Establishing and implementing office procedures to maintain efficient workflow.
- Preparing correspondence, documents, records, and other written material using computer software.
- Composing and preparing correspondence on matters with well-defined policies and procedures.
- Maintaining and updating database/spreadsheet records on a personal computer.
- Reviewing accounts, reports, and other documents for completeness, accuracy, and conformity with established procedures.
- Screening callers or visitors to determine the nature of the inquiry and referring to the appropriate party or office.
- Scheduling conferences, meetings, and making travel arrangements.
- Preparing and maintaining agency payroll, personnel, attendance, or other related records.
- Transmitting instructions from supervisor to appropriate staff and ensuring instructions are followed and deadlines are met.
- Monitoring and tracking the status of various program activities.
- Establishing and maintaining confidential and general office files.
- Explaining established program policies and procedures to the general public/clients and obtaining routine information for program purposes.
- Collecting and gathering information for use as a basis for reports and memorandums and preparing summaries.
- May supervise and participate in the typing, issuing, and recording of applications, licenses, and permits.
- May monitor expenditures to maintain budgetary controls.
- May order supplies and materials.
- May act as Secretary to a public official.
Preferred Skills:
- Good knowledge of modern office terminology, procedures, equipment, and business English.
- Working knowledge of the organization, functions, laws, policies, and regulations, and terminology of the assigned agency.
- Ability to handle routine administrative details independently.
- Proficiency in operating a personal computer and utilizing common office software programs, including word processing, spreadsheet, and databases at an acceptable rate of accuracy and speed.
- Ability to prepare and maintain program records and routine reports.
- Effective communication skills, both orally and in writing.
- Ability to establish and maintain effective working relationships with others.
- Ability to organize and maintain office files.
- Ability to collect information from various sources for program operations.
- Physical condition commensurate with the demands of the position.
