Position Purpose
Assist Service Operations and HVAC Sales, as well as facilitate all HVAC service contracts based on established departmental, company and ISO procedures, while meeting the customer commitments in a professional, high quality and timely manner.
Position Responsibilities
Operations:
* Assisting pulling documentation and scheduling Account Management meetings.
* Prepare renewal spreadsheet and attend renewal meetings.
* Task, monitor, and review all subcontractor work and oil analysis reports to send to internal and external customers.
* Set-up/enter, track, and manage the agreement booking package process (small adds/deletes, info changes, etc.).
* Assist Service Manager in new agreement start-up and add/delete process.
* Update HVAC maintenance agreement contracts and tasking as necessary to ensure everything is up to date and accurate.
* Maintain agreement customer list and review/update maintenance status board.
* Print and prepare agreement performance reports for review with identified exceptions.
* Run various reports and share them with appropriate parties: non-charge report, hours analysis report, SIO report, calibration log, PM completion report, Grainger report, etc.
* Identify bottom performers and fill in metrics with cause and resolution.
* Agreement inventory creation and updating.
* Obtain all renewing service agreement customer purchase orders (POs).
* Prepare monthly renewal recommendations obtain POs for renewals.
* Maintain manpower planning report.
* Maintain technician performance reports.
* Perform Audits - Refrigerant (monthly) & Airgas (quarterly).
* Assist with new technician onboarding efforts -scheduling job specific orientation and training items, Grainger setup and reports, etc.
Other:
* Various administrative duties for HVAC Service Operations and Sales, such as: assembling binders, creating and/or mailing documents, updating & maintaining spreadsheets & metrics, maintaining various reports and records, creating and/or organizing job folders, gathering customer information for various needs, etc. Also provides Excel expertise and skills on projects or as needed basis.
* Support and maintain a safe & Lean work environment.

Summary of Skills, Knowledge and Abilities
* 3 - 5 years in a HVAC Industry, preferred by not required.
* Good communication/customer service skills
* To perform this job successfully, an individual should have computer skills/knowledge of Microsoft Word, Excel and Outlook, and be able to catch on to new programs quickly.
* Knowledge of office procedures and methods including telephone communications/etiquette, office systems, and record keeping.
* Ability to establish priorities, work independently, and proceed with objectives without supervision.
