With CCTV cameras, pre-built vehicles, and software for pipeline inspection and rehabilitation, we improve the safety and reliability of our water infrastructure systems.

How you will make an Impact (Job Summary)

SPX is a diverse team of unique individuals who all make an impact. As a Service Center Administrative Assistant, you will be responsible for providing exceptional customer service. Process documentation, maintain records, provide high quality customer service support, and work independently and as part of a team.

What you can expect in this role (Job Responsibilities)

While each day brings new opportunities at SPX, your core responsibilities will be:

* Supports Senior Manager and Customer Service Department in implementing policies and practices:

* Provide professional customer service as primary liaison between customers, management, and the service department.

* Job processing including constructing job orders, accurate accounting of labor hours, inventory management, cycle counts and shipping of service products.

* Ensure the efficient and smooth day-to-day operation of our office.

* Answer and direct phone calls.

* Write and distribute email, correspondence memos, letters, faxes and forms.

* Develop and maintain a filing system.

* Provide general support to visitors.

* Knowledge of office management systems and procedures.

* Proficient in MS Office (MS Excel and MS PowerPoint, etc.)

* Excellent time management skills and the ability to prioritize work.

* Attention to detail and problem solving skills.

* Excellent written and verbal communication skills a must.

* Strong organizational skills with the ability to multi-task.

* Parts Sales:

* Take parts calls via phone and internet

* Track urgent and late packages

* Work with accounting department to maintain customer account information

* Complete Material Return Authorization (MRA) paperwork when defective or incorrect parts must be returned

3. Loaner Coordination

* Coordinates loaner equipment resources with dealer or customer

* Monitors, communicates and follows up on loaners and repair while balancing customer' expectations with available capacity

* Loaner inventory management

* Repair Coordination

* Leads and influences others to provide the quickest turnaround time in the industry

* Obtain repair information from the customer as to the scope of work

* Monitor, communicate and follow up on repairs while balancing customers' expectations with shop capacity

* Administrative Function

* Prepare relevant paperwork and maintains updated files and electronic records

* Beginning to end responsibilities of customers' repairs in ERP and Equipment Tracking Systems (ESTA)

* Verify and correct as needed; inventory transactions in ERP and Material Requirements systems.

* Reviews technician's write up for readability and accuracy - previews and edits repair history

* Communication

* Provides information or answers for customer inquiries via telephone, e-mail, facsimile or face-to-face.

* Refers and hands-off customers to appropriate personnel.

* Discusses repair issues with customers, shop personnel and management in order to convey accurate and meaningful information.

* Establish and maintain friendly and professional interpersonal relationships with customers and team members.

* Exercise enterprise wide vision and flexibility to reconcile non-routine concerns.

* Refer potential leads to sales for obsolete or non-repairable equipment.

* Participate in daily, weekly and monthly meetings to review work goals to exceed customer expectations.

* Must be a team player and a self-starter to carry out tasks and goals with clear directives and the boldness to ask questions when further direction is needed.

* Work positively and effectively with team members at corporate facility.

* Invoicing experience

Education & Certifications

* Bachelor's degree/Associates degree

Travel & Working Environment

* Must be able to complete shipping/receiving/inventory duties, including lifting of parts, bending and standing
