Role Description

We are seeking a detail-oriented and organized individual to join our team as a Service Coordinator/Administrative Assistant. In this role, you will play a crucial part in supporting our service department by efficiently coordinating service requests, maintaining clear communication between internal teams and customers, and ensuring smooth operations through accurate data management.

Qualifications

  • Service Coordination and Operations Management skills
  • Excellent Interpersonal Skills and Communication abilities
  • Strong Customer Service orientation
  • Ability to multitask and prioritize tasks effectively
  • Experience in the medical equipment industry is a plus
  • Proficiency in Microsoft Office suite
  • Fluent in Spanish Preferred

Responsibilities:

  • Coordinate service requests and arrange service calls promptly and efficiently.
  • Act as a liaison between internal teams (such as service, sales, and management) and customers to facilitate effective communication and resolution of issues.
  • Support the service department by ensuring accurate data collection for timely billing and effective project management.
  • Handle customer inquiries and provide timely, helpful responses.
  • Order necessary parts and supplies to support service operations.
  • Utilize our cloud-based management system (Monday.com) for updating orders and communicating with sales representatives.
  • Screen and direct phone calls, and distribute correspondence as needed.
  • Maintain the office filing system, ensuring documents are organized and easily accessible.
  • Make travel and accommodation arrangements for staff as required.
  • Assist with accounts receivable tasks, including invoicing and collection efforts.
