Description Fabian Oil is currently seeking a full time service dispatcher to join our service team. At Fabian, service dispatchers are responsible for ensuring service scheduling, parts ordering, and customer needs are being managed within a timely manner. Their duties include working with customers to schedule service work and answer service-related questions as well as tracking and communicating with service professionals to ensure effective time management. A Service Dispatcher should expect to perform all the following duties daily:
- Use dispatch software to assign HVAC technicians to service jobs.
- Respond to customer telephone calls regarding service matters.
- Communicate with technicians for updates on job assignments.
- Utilize computer systems to track parts & labor information.
- Order parts for special orders as needed.
- Maintain consistent contact with customers to keep them informed about the job status.
- Work directly with technicians to manage parts used and parts returned to ensure warehouse can resupply and stock as necessary.
- Manage warranty returned parts.
- Ensure HVAC technicians have access to working technology and report any malfunctions to IT department.
- Assist the Service Coordinator with other tasks as necessary.
- Calculate job cost estimations for customers.
The ideal candidate for the Service Dispatcher position should possess and demonstrate professional written, verbal, and interpersonal communication skills. They will have strong analytical, reasoning, and problem-solving skills and be able to effectively manage theirs as well as other's time. A successful candidate will have the ability to adapt to change, work as part of a team and perform work responsibilities independently. Because a Service Dispatcher will have access to private customer information, the ability to maintain confidentiality on the highest level is required. Requirements
- Basic math skills.
- Basic understanding of entry level computer software.
- Strong problem solving and conflict resolution skills.
- Strong written communication skills.
- Accounting, banking, customer service or management experience preferred but not required.
- Motivated and organized.
- Familiarity with digital filing programs.
- Experience with Excel and Outlook or similar programs
- Experience with General Assistance program
