Job Description:
Position Overview:The Service Support Manager will oversee all aspects of utility billing and key services for our apartment buildings. This role involves managing utilities, NSpire inspections, elevator services, and telecom bills using vendor tools, analyzing data for cost-saving opportunities, and handling the addition, change, or deletion of services as required.This list of duties and responsibilities is not all-inclusive and may expand to include other duties and responsibilities based on business needs.3 Party Service Management:
  • Oversee and manage all utility, elevator, Nspire inspections, and telecom billing processes.
  • Utilize various vendor platforms to gain comprehensive insights into the services rendered at the portfolio level.
  • Ensure timely and accurate processing of service requests, escalations, portfolio coordination, and invoice payments.
Data Analysis and Service Cost Optimization:
  • Analyze billing data to identify opportunities for cost savings.
  • Recommend and implement strategies for consolidating carriers and reducing expenses.
  • Monitor and report on utility usage trends and costs.
Telecommunications Management:
  • Manage the addition, change, and deletion of phone and internet lines.
  • Coordinate with service providers to ensure seamless implementation of changes.
  • Maintain accurate records of all telecommunications services and changes.
Elevator Contract Management:
  • Manage the addition, change, and deletion of site elevator services provided by Auditmate.
  • Coordinate with Auditmate, service providers, and the sites to ensure seamless implementation of changes and site compliance.
Nspire Site Compliance:
  • Monitor NSpire (HUD) website for Inspection notices.
  • Ensure access to NSpire is given to individual sites as required.
  • Monitor and coordinate progress on mitigating deficiencies for Nspire inspections.
Vendor and Stakeholder Coordination:
  • Liaise with utility vendors and service providers to resolve billing issues.
  • Collaborate with property managers and other stakeholders to ensure efficient utility management.
Qualifications:
  • Bachelor's degree in Business Administration, Finance, or commensurate experience.
  • Proven experience in utility billing management and telecommunications.
  • Strong analytical skills with the ability to interpret billing data and identify cost-saving opportunities.
  • Demonstrated computer proficiency with the ability to troubleshoot and optimize software for business needs.
  • Excellent organizational and time management skills.
  • Proficiency in using billing management tools and software.
  • Strong communication and interpersonal skills.

Work Environment/Physical Demands:
  • This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
