Job Summary:

We are seeking a highly organized and proactive Receiving and Shipping Logistic Manager to lead and manage all aspects of warehouse operations. This role is crucial in ensuring the smooth flow of incoming and outgoing shipments, maintaining inventory accuracy, and optimizing overall warehouse efficiency. The successful candidate will be responsible for scheduling inbound and outbound shipments, overseeing vendor relations, managing warehouse staff, and ensuring compliance with company safety standards and industry regulations. Additional responsibilities include logistics planning, vehicle maintenance, rate negotiations, and ensuring that the team operates efficiently, even during high-demand periods.

The Receiving and Shipping Logistic Manager will work closely with vendors, carriers, and internal teams to ensure seamless coordination and timely deliveries. This position requires a strong understanding of logistics systems, team management, and the ability to oversee operational needs. While this role primarily operates Monday through Friday, occasional Saturday work may be required based on business demands. This position reports directly to senior management and involves a hands-on approach, particularly in managing operations during key team members' absences.

Key Responsibilities:

  • Coordinate Less-than-Truckload (LTL) and Full-Load Shipments: Manage and schedule LTL and full-load shipments with carriers to ensure timely, cost-effective transportation of goods. Ensure that all shipments are aligned with production schedules and customer requirements.
  • Utilize ERP and Job Status Shipping Tools for Receiving and Shipping: Efficiently manage the receipt and shipment of items using the company's ERP system and Job Status Shipping tool. Ensure accurate inventory updates and seamless order fulfillment while maintaining real-time tracking of shipments.
  • Inbound Shipment Scheduling: Oversee the scheduling and coordination of inbound shipments, working closely with suppliers and carriers. Optimize resource allocation at the dock and warehouse to ensure smooth and timely deliveries that align with operational needs.
  • Maintain a Written Schedule for Vendor Deliveries: Ensure the accurate and timely scheduling of vendor deliveries, including but not limited to hardware, copper, courier services, large equipment, enclosures, deliveries from Amazon, eBay, and other customer portals.
  • Schedule Packing and Shipping for Local, National, and International Deliveries: Ensure timely and efficient coordination of outbound shipments, including preparing items for dispatch and scheduling transport for various destinations.
  • Manage International Deliveries and Documentation: Oversee the logistics for international shipments, including handling brokerage, customs clearance, and all required paperwork to ensure compliance with international shipping regulations.
  • Negotiate Transportation Rates: When applicable, negotiate competitive rates with transportation companies to optimize cost-effectiveness while maintaining service quality.
  • Maintain Monthly Shipment Records: Keep accurate and organized records of all shipments, tracking costs, delivery timelines, and any issues to ensure operational transparency and continuous improvement.
  • Maintain Vendor and Supplier Contact Information: Ensure accurate and up-to-date records of all vendor and supplier contact details to facilitate seamless communication and coordination.
  • Ensure Timely Ordering of Pallets: Coordinate with external vendors to ensure the timely ordering and delivery of pallets, maintaining sufficient inventory to support ongoing warehouse operations.
  • Manage Gas Card Expenses for Company Vehicles: Oversee and track gas card expenses for Lincoln vehicles, ensuring proper usage and reporting to optimize fleet management costs.
  • Manage Discrepancies Between Purchase Orders and Received Goods: Address and resolve any discrepancies between purchase orders (POs) and received goods by escalating issues to the appropriate parties or initiating the Return Merchandise Authorization (RMA) process when necessary.
  • Resolve Issues with Damaged Shipments: Promptly handle and resolve any issues related to damaged shipments, ensuring minimal disruption to operations and coordinating with vendors or carriers for replacement or compensation as needed.
  • Vehicle & Equipment Maintenance: Oversee the maintenance of trucks, vans, and other logistics-related equipment and track vehicle maintenance schedules
  • Team Scheduling: Manage the scheduling of the logistics team, ensuring each member is clear on their responsibilities and tasks.
  • Packing Supply Inventory: Oversee packing supply inventory levels and place orders as needed to avoid shortages.
  • Driver and Transportation Coordination: Track and manage the logistics team's interactions with delivery drivers and transportation companies to ensure smooth operations.
  • Vacation Coverage: Learn and manage advanced scheduling for inbound and outbound shipments, stepping in when team members are unavailable or on vacation
  • Transportation Rate Monitoring: Verify and monitor any price freezes for transportation rates (e.g., dollars per mile) to ensure budget adherence.
  • Cost Estimation: To support pricing decisions, create and maintain a shipping cost estimate sheet as needed.
  • Document Accuracy: Ensure that all inventory management documents are current and readily available for the warehouse team.
  • Inventory Systems Management: Learn and oversee the warehouse's inventory systems, maintaining an accurate and real-time count of inventory levels.
  • Schedule Optimization: Analyze and adjust delivery schedules as necessary, especially for early deliveries related to city-specific jobs or traffic constraints.
  • Driver Coordination: Work closely with drivers to ensure deliveries are made on time, particularly when early delivery windows are required.
  • Role Clarity: Ensure each team member's core responsibilities are well-defined and executed efficiently to meet team objectives.
  • Team Performance: Oversee the overall performance of the logistics team, ensuring effective communication and collaboration between team members and delivery drivers.
  • Identify and Implement Improvements: Continuously review current processes and identify areas for improvement to enhance warehouse and logistics operations.
  • Documentation and Protocols: Ensure all necessary documentation, contact information, and operational protocols are properly maintained and accessible to the team.
  • Monitor Team Performance: Track and evaluate team members' adherence to company policies, including attendance, punctuality, and overall job performance.
  • Document Incidents: Ensure that any disciplinary or attendance-related issues are documented clearly and accurately in accordance with company guidelines.
  • Ensure Compliance: Work closely with HR and management to ensure all disciplinary actions align with company policies and legal requirements.
  • Enforce Safety Protocols: Ensure all team members strictly adhere to safety protocols while performing their duties to maintain a safe working environment.
  • PPE Usage: Monitor and enforce the proper use of Personal Protective Equipment (PPE), including helmets, gloves, safety vests, and any other required gear, ensuring compliance at all times.
  • Incident Reporting: Immediately address any violations of safety protocols or failure to wear PPE and document incidents appropriately.

Qualifications:

  • 7+ YEARS of experience in a warehouse/logistic environment.
  • Strong understanding of Standard Operating Procedures (SOPs) and key performance indicators (KPIs) for warehouse operations.
  • Advance proficiency in Excel.
  • Experience with ERP systems (e.g., Acumatica).
  • Strong communication, negotiation, and team management skills.
  • Ability to troubleshoot scheduling and operations challenges.
