Job DescriptionThe Shipping Coordinator I will perform varied duties involving billing, routing, and production scheduling activities, along with the tracking of trucking equipment in the yard and the coordination of finished product deliveries. Refers matters to supervision where clarification of policies is involved.This position will serve our Water Heating Division, located in Laredo, TX.Responsibilities
- Assures orders and shipping quantities match picking documents through careful audit of said documents while assisting in resolving discrepancies.
- Verifies the bills of lading are received from shipping department and ensures that all invoices have been distributed to proper location.
- Arranges for movement of freight to consignee/agent & updates the system with information. Notifies consignee of shipment arrival and coordinates shipment information to other offices and/or agents.
- Trace shipments of products and materials with trucking companies.
- Initiates answers & documents tracer inquiries when requested via email and/or fax.
- Enter data pertaining to domestic and international shipments into the company ERP system and into the shipping systems of commercial freight carriers.
- Gather and enter into the warehouse management system and maintain all data and records relative to shipping and receiving activities.
- Be able to fill in as vacation relief for other shipping office coordinators depending on shift requirements.
- Bill shipments of products, appliance, container, heating products and tanks, using bills of lading as source of information.
- Complete reports summarizing cancellations, billing and bills of Lading.
- Keep track of all trucking equipment on yard.
- Ensure that drivers depart with appropriate paperwork, while ensuring security processes are followed with regard to the CTPAT (driver and visitor sign in).
- Answer/route telephone calls in a polite manner, taking messages and routing to proper individuals in a timely manner.
- Assemble packaging materials and packaged merchandise per instructions in preparation for shipment as assigned or required.
- Complete necessary management reports as required or assigned.
- Utilize Lean Manufacturing concepts where applicable.
- Help with and/or complete special projects at the direction of supervision.
- Performs other duties as assigned.
Qualifications
- High School Diploma or GED, with minimum of 1-2 years prior shipping/logistics work experience in a manufacturing environment.
- Experience involving billing, routing, production scheduling activities, tracking of trucking equipment and the coordination of finished product deliveries.
- Independent thought, good judgment, problem solving skills and ability to prioritize multiple projects.
- A team player with solid interpersonal skills.
- Self-motivated requiring minimal direct supervision.
- Basic proficiency in Microsoft Office Suite (Word, Outlook and Excel) preferred.
- Valid State Issued Motor Vehicle Operator License with acceptable driving record.
- Occasional lifting up to 20 pounds.
- Excellent communication skills, written and verbal, with attention to detail and accuracy.
- Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite and Finished Goods Management System.
- Demonstrates ability to work well with others in a matrix team environment.
- Strong analytical and problem-solving skills.
- Able to prioritize and deal with numerous interruptions.
- Bilingual in Spanish
