DescriptionSite Lead KEY Academy - Wichita USD259 - PM Session T-FPRINCIPAL ACTIVITIES: The Site Director is responsible for the quality, management and direction of the site, the implementation of operation involving safety, nutrition, hygiene, scheduling, tuition and balance due collection, discipline, curriculum, planning, programming, record keeping, supply requests and maintenance of site. Other responsibilities include reporting individual staff absences, follow-up child absences and maintain daily required sign-in/out rosters with parent signatures. Program Management
  • Plan, supervise and implement quality lesson plans according to standards set by KDHE and YMCA.
  • Use lesson plan format to provide clear, concise, varied and age-appropriate activities for your site.
  • Post current lesson plans conspicuously at your site no later than 6:30am, Monday.
  • Plan and implement a minimum of two lessons in drug/alcohol abuse prevention monthly.
  • Demonstrate and teach the YMCA Character Development Values (caring, honesty, respect, responsibility) in your weekly activities.
  • Make sure all materials and equipment are available and prepared prior to all activities.
  • Be involved directly with group activities, not an observer (including swimming and field trips).
  • Provide parents with a professional-looking weekly calendar of events/reminders.
  • Implement a weekly menu according to guidelines set by CACFP, KDHE and YMCA.
  • Post current menu no later than 6:30am, the first day of the month.
  • Complete CACFP rosters and menu page at the point of service daily.
  • Maintain accurate sign-in/out and attendance records daily KDHE, SRS and YMCA require full signatures of parent/guardians for legal responsibility of care.
  • Contact parent/guardian in the event a child is absent and no notice has been received of such absence.
  • Demonstrate the ability to set and maintain limits for the children using positive reinforcement.
  • Review and understand the YMCA Discipline Policy.
  • Supervise proper organization, maintenance and inventory of equipment, supplies and food storage in all areas used by the School Age program.
  • Complete required paperwork correctly and maintain deadlines.
  • Assist the SACC office of collecting late child care payments according to YMCA policies and procedures.
  • Inform SACC office of no-shows and other attendance changes as needed.
  • Ensure that the program is operated in a safe and purposeful manner, insuring that all CACFP, KDHE and YMCA guidelines are met and exceeded.
  • Maintain good public relations with parents and host building administrators at your site.
  • Encourage and elicit parent support and satisfaction, with the goal of providing mutual support to the child.
  • Establish a Parent Information Center to include rosters, receipts, parent calendars, etc.
  • Keep parents informed of changes such as staffing, schedules, day camps, etc.
  • Greet every parent/child daily.
  • Work closely with building personnel in coordination of the site.
  • Follow through on concerns in a timely manner and involve you site's Program Director as needed.
  • Conduct/organize a minimum of 2 service activities each school year, involving your host site.
  • Ensure that proper procedures regarding vehicle safety and laws use are followed at all times (if applicable).
  • Administer your program in an organized and responsible manner, to include maintaining paperwork and deadlines as outlined:
  • Monitor and process staff time sheets accurately and meet deadline for processing.
  • Hold staff accountable for working scheduled hours, maintaining time allowances.
  • Site Director must not exceed allotted planning hours and must complete planning hour track on reverse of time-sheet weekly.
  • Overtime must be approved in advance by your Program Director and Child Care Executive.
  • Expense Reports: accurately report mileage and expenses by the 2nd day of each month.
  • Purchases for site must be approved in advance by the Program Director.
  • Receipts must be provided to ensure proper reimbursement.
  • Directors are allowed 2 one-way trips to the YMCA per week; plan appropriately.
  • Time-Off Requests: must be received no less than 2 weeks prior to the day(s) requested to be off.
  • Staff Counseling: in such the event, document incident, have staff sign and involve Program Director as needed.
  • Reporting Absences: notify your Program Director in the event of an emergency/illness which will prevent you/your staff from reporting to work.
  • Do not leave a message; speak personally to Program Director or report to work until contact is made.
  • Provide a complete substitute packet of information in the facility with easy access.
  • Communicate important program issues and information to your Program Director.
  • Be a team player with all staff.
  • All child care staff is mandated by the State of Kansas to report suspected child abuse and neglect and must notify proper authorities of any suspected abuse, unsafe conditions, needed repairs, complaints, accidents or injuries immediately.
  • Meet and exceed KDHE standards and regulations.
  • Know and follow all applicable regulations.
  • Manage staff: child ratios within licensing standards and according to YMCA policies for site coverage.
  • Maintain necessary records involving attendance, child files, staff files, items to be posted/filed and other program regulations required for state licensing.
  • Provide SACC Director the Notice of Survey Findings and KDHE billing statement within 24 hours of health department visit.
  • Within 3 working days, provide SACC Director a correction letter outlining a plan of action to correct the noted violations.
  • Health department's Notice of Survey Findings will impact the Site Director's annual review.
  • Attend all Site Director Meetings.
  • Other duties as assigned by your SACC Director and/or the Child Care Executive.
  • Staff and Volunteer Development
  • Supervise 1-8 staff.
  • Act as first link for site staff in organizational chain of command.
  • Work with staff to settle work performance issues.
  • Schedule site staff meetings as needed (provide agenda and minutes to SACC Director).
  • Model appropriate staff: child interaction.
  • Complete annual review for staff according to the YMCA's review schedule.
  • Ensure that all relevant information is passed along to site staff in a timely fashion (meetings, schedule changes, etc.).
  • Must participate in fund raising/promotional activities.
  • Must participate in special events to promote School Age programs.
  • Provide your services at the most once a month on a volunteer basis for promotions and fund-raising.
  • Assist with and attend special events relating to Strong Kids Campaign (dates/times TBA)
  • Contribute financially to the United Way Campaign and Strong Kids Campaign on a volunteer basis. The United Way is a financial provider for the School Age program and this 100% participation is our way of expressing gratitude and support of their work. Amount of donation is completely up to individual staff members.
  • Requirements Requirements MINIMUM QUALIFICATIONS (per YMCA/KDHE requirements):
  • 12 semester hours of academic study or equivalent training in Early Childhood Education, Elementary Education, Child Development or Psychology of sufficient college coursework/credits and/or one year experience to meet state licensing requirements;
  • Qualify for and obtain a Program Director Approval at the appropriate level for site size;
  • Be mature and able to relate well to children, adults, and host school/church administration;
  • Possess the ability to provide the leadership and stability required to ensure program continuity.
  • POST-HIRE/TRAINING REQUIREMENTS: The following must be obtained and on file within the first 30 days of hire:
    • Standard First Aid - maintain certification duration of employment
    • Adult/Child CPR - maintain certification duration of employment
    • Signs & Symptoms of Childhood Illness & Abuse
    • Medication Administration certification
    • Child & Adult Care Food Program certification
    • Health History (KDHE form)
    • Obtain and maintain a minimum of 15 clock hours of in-service annually
    • Attend mandatory YMCA New Employee Orientation (NEO)
