Sourcing Specialist - Purchasing Overview
Supports Purchasing Department and Informatics Analyst to establish and manage vendors, contracts, formularies etc., and utilizes these resources to manage the platform for end users to create and process orders; analyze portfolio to look for service or expense savings opportunities across the organization.
Responsibilities
Sourcing Specialist - Purchasing Educational Requirements and Qualifications
Maintain thorough knowledge the electronic purchasing systems and applications - Assist purchasing staff with requests for new or alternate products or services, and with selection of approved vendors
- Analyze purchase history data to identify standardization, compliance, cost savings opportunities, etc.
- Maintain files regarding purchase history, quotes and other pertinent information as needed in a systematic, retrievable, paperless manner
- Manage Vendor Compliance Program
- Request and process necessary information (W9, COI, OIG check, etc) for new vendors and enter information into system, notify Accounts Payable as needed
- Assist with the contract maintenance including contract renewal calendar; manage facility service contracts, etc.
- Assist with/coordinate new product evaluations with appropriate parties; obtain and share results as well as cost analysis and other information such that a decision can be made; communicate and coordinate implementation of new products
- Identify and implement cost savings opportunities and improvements in collaboration with associated Departments
- Establish and maintain professional, positive working relationships and communication with all levels within and external to the organization
- Utilize systems and resources to ensure seamless and accurate processing of purchase requisitions and orders with appropriate approval workflow, keeping the end user experience in mind
- Comply with all Purchasing policies and procedures, compliance standards, etc. and notify Supervisor of any concerns
- Participate in business reviews with vendors, service contractors and manufacturer representatives as needed
- Maintain formularies to ensure accurate pricing and offering is robust to reduce special/off formulary purchases
- Explore Group Purchasing Organizations (GPO) for vendors, services and pricing opportunities
- Ensure contracts, vendors, formularies, etc. are established and maintained in software programs and applications in accordance with the agreements, including pricing, terms and service requirements
- Assist with due diligence and contract review prior to facility acquisition as needed Performs other duties as assigned by management staff or Supervisor
Qualifications
Sourcing Specialist - Purchasing Educational Requirements and Qualifications
- Minimum 18 years of age,
- High School Education or equivalent, bachelor's degree preferred.
- 5 - 10 years purchasing experience preferred.
- MS Office (Excel, Word and PowerPoint) proficiency and computer skills required.
- Strong interpersonal, communication (written and verbal) and analytical skills required.
- Must be detailed oriented, organized and able to manage multiple tasks.
