Job Details

FUNCTION:

Provide back office support to fill spare parts orders for our customers. Execute duties as assigned within department.

JOB SCOPE:

RESPONSIBILITIES

Process and reviewing spare parts sales orders.

*Review Spare parts sales orders, to determine if stock is available. Place purchase orders to satisfy order requirements daily.

*Monitoring of inventory received to process current or sales back orders.

*Create pick tickets so orders can be shipped.

*Notify customer of any changes or delays.

Forward information on out-of-stock parts requests to your supervisor immediately.

Advise customer when orders will be shipping short and give them a date for completion of the order.

Process warranty claims and parts returns.

*Ensure that established policies are followed.

Ensure that back ordered parts are shipped out the same day that they are received.

Technical Parts Responsibilities

*Arrive at the work place on time.

*Adhere to the Ilapak established dress code and practice good personal hygiene.

*Remain polite (proper manners) and professional at all times with customers.

*Report back to the Parts Department Manager at least once a day with an accurate and concise update of your progress, including recommendations for required parts and upgrades needed.

*Provide polite and professional telephone support to customers as needed with proper documentation of calls.

*Complete parts requisitions properly and completely for all parts needed from the spare parts department. Submit to Supervisor of Spare Parts.

*Very good written and verbal communication skills are required.

POSITION REQUIREMENTS:

*Must possess very good written and verbal communication skills and be capable of dealing effectively and professionally with customers and vendors.

*Must be literate with the use of a personal computer and common office software packages. SAP prefer.

*Position requires sitting for extended times – up to eight hours per day.

*Position requires standing and walking for extended periods of time throughout the day.

*Must be capable of working overtime with little or no notice to fill needs.

*Degree preferred. Not required.
