Job Description:
Under the direction of a Chairperson-Elders Council, the incumbent plans, schedules, coordinates, and performs a wide variety of administrative activities including the handling of extremely confidential and sensitive matters involving the Tribal Elder's meetings and the Tribe's various business entities/involvements, and community and membership issues. Requires a high degree of initiative, discretion and independent judgment, and a knowledge of Tribal organization, policies, practices and procedures. Bachelor's or related field with at least five (5) years of related work experience or an equivalent combination of education and/or experience. Strong research and analytical skills. Demonstrated ability to effectively plan, coordinate and execute diverse projects and assignments. Demonstrated ability in handling extremely sensitive and confidential data from several sources. Ability to handle pressure situations in an effective and efficient manner. Understanding of or ability to acquire an understanding of the Tribe's goals, objectives, and philosophies. Ability to represent the Tribe before community and governmental agencies, boards of directors and other related groups. General knowledge of accounting and budgeting concepts and practices. Must be proficient in word, excel and zoom.Other Job responsibilities include:Responsible for the development of legislative history on major topics of the Elders Council includes gathering minutes, resolutions and articles and documents from various resources.Maintains annual Elder Council calendar and update Tribal Elders handbook, enrollment process, Banishment Guidelines with ECR passed by Elders Council. Coordinates as necessary with Tribal Council Secretary to obtain TCR and any other work projects.Maintains and ensures the Elder's website is updated and coordinate with Title VI staff to integrate Elders information from Title VI media platform to Tribal Elders Website.Works with MIS to assist Elders with zoom set up when necessary and Pequotathome for accessing Tribal information and events.Ensures Elders Council Officers' computer calendars are kept updated with Elders team meetings and pertinent events and community meetings.Ensures the Elders Council Officers calendar coincides with the Annual Elders distribution calendar.Draft minutes and policies as needed or required.Ensures the safety and security of Elders, Council, documents and purchased items.Creates, updates and manages log in sheets for material such as gift cards purchased items and use of Tribal property for example scooters, sidewalk plows and Tribal Elder van and gas card.Prepares Elder Council Agenda and material for each Elders Council meeting, Schedule Retreat and maintain minutes and resolutions for archive and Elders files.Assists with work in the absence of Elders Council Secretary.Schedules meetings for Elders Council officers, send out reminders for Elders' meetings and pertinent information and communicate, follow up on outstanding matters.Performs all other duties as assigned.
