Under the general supervision of the Office of Information Technology, the incumbent serves as a Special Assistant to the CIO for Central State University at Wilberforce, Ohio. One of the primary responsibilities of the Special Assistant will be to oversee, coordinate, and assist the Marauder IT Services staff with ongoing technology training needs for the university. Therefore, this is a first contact customer-facing position at the university. Excellent customer service and communication skills are required as well as attention to detail, friendliness, quality customer service, being able to be calm under pressure, and the ability to work in a fast-paced work environment.
This position reports directly to the Chief Information Officer (CIO) of the University and will also assist the CIO and other IT leadership with administrative support, divisional and university technology procurement, asset management, contract management, project management, business analysis, change management, institutional relationship management, program management, and digital administration.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
* Acts as the content champion and manages/oversees the MITS webpages for Marauder IT Services (MITS).
* Develops and oversees an online Knowledge Base (KB) for Marauder IT Services in conjunction with the university Web Developer/Content Manager.
* Consult with end-users to provide input and offer solutions for technology training needs. Coordinates with various IT staff members to develop, organize, and prepare moderately complex training and educational programs for Marauder IT Services applications for endusers.
* Consults with CSU Global to develop technology training modules using Central State's Learning Management Systems (LMS). Central State University is an Equal Opportunity/Affirmative Action Employer
* Develop and conduct technology-related train the trainer programs.
* Develop effective technology-related training processes and procedures.
* Develop training needs assessments and provide recommendations to IT management. Help manage scheduling, communication, travel, and other administrative tasks for the VP/CIO.
* Act as the direct point of contact for the VP/CIO for the internal and external communities.
* Attend and participate in meetings and vendor demos for the VP/CIO as requested.
* Assist VP/CIO with internal and external project management and coordination efforts including timelines, communication, progress, and deliverables.
* Liaise with business and academic units to understand and communicate their specific IT needs to the VP/CIO.
* Liaise with external corporate and community partners to assist in programmatic launch and administration.
* Manage and oversee IT policy updates and revisions as directed by the CIO and/or Director of IT Operations.
* Assists the Director of IT Operations with all university-wide hardware, software, and other IT-related purchases and internal Division of IT purchases.
* Maintain a working relationship with vendors to provide quotes for IT products and services to internal customers as directed by the CIO and/or Director of IT Operations.
* Manage and oversee university-wide and divisional IT-related contracts and service level agreements (SLAs) and initiate action and compliance with payments and renewals.
* Manage and oversee the process relating to the issuance and reclamation of IT assets (laptops, monitors, phones, etc.) for onboarding and separating employees.
* Manages and oversees the onboarding and separation processes for IT employees including the processing of Strategic Position Reviews (SPRs) and Personnel Action Forms (PAFs) as well as ensuring the appropriate approval signatures have been acquired for all documents. Schedules and coordinates interviews for potential candidates.
* Other duties as assigned.
Minimum Qualifications
EXPERIENCE AND QUALIFICATIONS:
* Successful background and/or experience in employee training (preferably in technology). Highly responsible and has the ability and desire to be self-directed.
* Demonstrated professional demeanor in an executive-level office environment.
* Excellent oral, written, and interpersonal communication skills.
* People-oriented and highly affable team player.
* Strong sense of urgency and ability to work under pressure with limited time expectations. Strong knowledge of current IT trends in hardware, software, and services.
* Highly skilled in the use of Microsoft Office 365, with a strong emphasis on Microsoft Word, PowerPoint, Excel, Outlook, and Teams.
* Minimum 5 years of experience using an Enterprise Resource Planning (ERP) system such as SAP, PeopleSoft, Jenzabar, Ellucian, etc. to manage financial transactions (preference will be given to applicants with Ellucian Banner experience).
* Strong organizational skills with acute attention to detail to maintain accurate records.
* Strong analytical and problem-solving skills.
* Ability to handle sensitive material(s) in confidence.
* Ability to interface with all departments of the University.
MINIMUM QUALIFICATIONS:
* Bachelor's degree (in computer science, MIS, business, accounting, management, or equivalent) plus 5 years of administrative experience in a higher education setting,
OR
* 15+ years of administrative experience in an information-intensive business setting, preferably in higher education.
