Position is approximately20-25 hours per week.The Special Event Coordinator must be well-organized,creative, and able to work well under pressure with multiple responsibilities.Must have excellent interpersonal, communication, organization, administrativeskills and demonstrated experience with taking initiative. The ability toestablish and maintain effective and collaborative working relationships withmultiple stakeholders including City staff, event organizers, residents,business owners, and various other community groups is critical.The City of Fort Collins Emergency Preparedness and Security(EPS) handles emergency management, security, and special event permitting. EPSprepares for and manages emergencies, educates the community, and oversees theCity's Emergency Operations Center. It also ensures the safety of Citybuildings and employees and issues permits for local events, ensuring they areconducted safely and responsibly.This is a unique, challengingopportunity to develop significant skills across numerous areas related topreparedness, security, and event management. Some evening and weekendavailability will be required.Essential Duties andResponsibilities:The following duties andresponsibilities are illustrative of the expected primary functions of thesepositions and are not intended to be all inclusive.-Administrative tasks including, event permit applications and communications with event producers, City staff and the public-Administrative support for the Special Events Lead Specialist-May be point of contact for special event permit questions, requests, and issues from the public.-Coordination of special event permitting activities throughout the city organization (e.g. Police/Fire, Liquor, Amplified Noise, Parks/Recreational Areas, Parking, Street Closures, etc.)-Coordinates meetings with event organizers and City departments/agencies involved with permitting the event to ensure all parties are in alignment with expectations and/or requirements as they relate to the upcoming event and disseminate discussion points from meeting to all parties to ensure compliance-Research into best practices in other municipalities regarding regulation and on-the-ground monitoring of event compliance in areas such as set-up and amplified sound-Assistance with special events webpage updates and e-newsletter production-Attend internal and external meetings as directed by the Special Events Lead Specialist-Research and implement initiatives that increase the Special Event Office visibility within the community-Admin and technical support for planning of safety and security response and management by other city departments-Maintain a calendar of outreach activities, including community events, workshops, appearances, and other communication opportunities-Assist as needed with other missions of the Emergency Preparedness and Security OfficeCity CompetenciesDemonstrated cultural competence to effectively interact, work, and develop meaningful relationships with people of diverse identities, perspectives, and cultural backgrounds.Strong learning orientation. Leverages all resources and is creative in ways of learning for self to continue adapting to changing issues and trends.A desire and ability to understand the diverse needs of internal and external customers, and to create experiences and deliver services that exceed their expectations.A desire and ability to utilize digital tools for organizational information, individual, and teamwork.Knowledge, Skills, andAbilities:-Experience with event planning, management, and presentations-Experience problem solving with various levels of staff and customers-Experience establishing and maintaining collaborative working relationships with a variety of internal and external stakeholders-Superior writing, grammar and editing skills, along with strong oral communication skills-Excellent organizational skills and the ability to multi-task in a fast-paced environment-Proficiency with Microsoft Word, Excel, PowerPoint, Outlook and Teams-Strong attention to detail and ability to take initiative-General understanding and public relations, marketing, advertising, and promotional concepts and objectives.-Capable of working on own as well as within teams.-Ability to appropriately manage confidential or sensitive information.-Ability to relate effectively with people from a variety of backgrounds.Education and Experience:-High school graduation or general education degree (GED),college-level or technical school course work in related area, higher educationpreferred-Two years of related job experience performing event coordination,administration, or community engagement preferred.Language Skills:Ability to read, analyze, and interpret policies andprocedures, safety and technical procedures, or governmental regulations. -Ability to write reports, business correspondence, and procedure manuals in aconcise, clear, and impactful manner. Abilityto effectively present information and respond to questions from groups ofmanagers, clients, customers, and the public.Reasoning Ability:Ability to solve practical problems. Ability to interpret avariety of instructions furnished in written, oral, diagram, or scheduleform. Ability to read and analyzeinformation from a variety of sources, and craft that information intocommunications appropriate for various audiences. Mental alertness, ability tomulti-task, and meet fixed deadlines while balancing other multiple projectswith varying deadlines.CERTIFICATES,LICENSES, REGISTRATIONS:Valid driver's license preferred.Physical demands:The physical demands described here represent those that an employee must meetto perform the essential functions of this job successfully.While performing the dutiesof this job, the employee is regularly required to talk or hear.
