Job Description:

Montauk Yacht Club is seeking a Special Events Manager to join the team at our 107-room luxury property. Spanning 35 acres on Montauk s Star Island, Montauk Yacht Club offers waterfront views, a private beach, three pools, multiple dining options and over 200 wet slips that can accommodate boats from small day cruisers to 300-foot superyachts. Holding eight decades of East End history as an elite social club and thoughtfully reborn for the modern traveler, guests can expect classic East Coast architecture, well-appointed interiors and detail-driven amenities.

As a Special Events Manager, you will be responsible for planning, coordinating and executing a wide range of special events, from weddings and corporate meetings to private parties and social gatherings. You will work closely with clients to understand their needs and preferences, ensuring that every event is flawlessly executed, exceeding our guests' expectations.

Key Responsibilities:

Client Relationship Management

  • Build and maintain strong relationships with clients, understanding their event requirements and preferences
  • Act as the primary point of contact for clients throughout the event planning process

Event Planning & Coordination

  • Collaborate with clients to create customized event proposals and packages.
  • Coordinate all aspects of events, including catering, d cor, entertainment and logistics
  • Ensure all necessary permits, licenses, and contracts are in place for each event

Team Leadership

  • Lead a team of event coordinators and support staff to execute events seamlessly
  • Delegate tasks and responsibilities, providing clear guidance and support

Budget Management

  • Develop and manage event budgets, ensuring profitability and cost control
  • Negotiate with vendors and suppliers to secure competitive pricing

Quality Assurance

  • Maintain high-quality service standards, ensuring that events are executed to the highest level of satisfaction
  • Conduct post-event evaluations and gather feedback for continuous improvement

Marketing & Sales

  • Collaborate with the sales and marketing team to promote special events and attract new clients
  • Participate in sales presentations and client tours when required

Logistics & Operations

  • Oversee event logistics, including set-up, breakdown, and on-site management
  • Ensure all events comply with safety regulations and hotel policies

Qualifications:

  • Bachelor's degree in Hospitality Management, Event Planning, or a related field (preferred)
  • Proven experience in event management, preferably in a luxury hotel or upscale event venue
  • Strong interpersonal and communication skills
  • Excellent organizational and time-management abilities
  • Creative problem-solving skills
  • Proficiency in event management software and Microsoft Office Suite
  • Ability to work flexible hours, including evenings and weekends
