Title of Position: Payroll Specialist [HYBRID]FLSA Status: Non -ExemptDepartment: FinanceReports to: Payroll DirectorDirect Reports: NoneSalary: $58,000 - $62,000About WinWin is dedicated to breaking the cycle of homelessness by providing transitional and supportive shelters for women-led families. Many of our families have escaped domestic violence and strive to keep their families together and safe. Win's Income Building Program supports our clients by facilitating their transition from unemployment to employment and helping those already employed to improve their circumstances. This includes increasing wages, moving from part-time to full-time work, securing health benefits, and transitioning from off-the-books to on-the-books positions. Additionally, Win offers financial literacy workshops to equip our clients with essential skills such as budgeting, bill paying, and basic fiscal management. Win's current operating budget is approximately $150 million, with $14 million raised privately through private and corporate funding, supporting programs and services including the Income Building Program and Camp Win.Purpose of the Position Our innovative and growing Payroll Department is looking to fill the role of Payroll Specialist. As the Payroll Specialist, you will assist with payroll administrative functions, manage payroll processing, assist with regulatory compliance and work collaboratively with our Human Capital team to ensure that our employees have the best experience at Win. You will also work very closely with the Payroll Director in recognizing and sharing areas of improvement in our day-to-day functions.Key AccountabilitiesPayroll Processing
  • Process payroll and provide the Payroll Director with reports to support calculations.
  • Review bi-weekly timecards while alerting managers of any administrative discrepancies on the timecards.
  • Ensure approved timecards are accurately recorded and processed in a timely manner.
  • Enter all new hires into the ADP system on a bi-weekly basis.
Payroll Administration
  • Review and audit PTO policies with the Human Capital team.
  • Monitor and respond to all payroll emails in the payroll inbox.
  • Maintain all new payroll allocations.
  • Maintain confidentiality and resolve pay discrepancies and complaints timely.
  • Alert the Payroll Director of all delays and challenges and maintain quality controls.
  • File all payroll documents in a confidential payroll file for all Win employees.
  • Perform other related payroll administrative and auditing duties as assigned.
  • Use V-Lookups and pivot tables to analyze payroll data for accuracy.
Payroll Compliance
  • Maintain 403b records and allocations
  • Review a variety of local, state and federal, quarterly and year end filings; making any necessary quarterly corrections or adjustments as needed.
  • Collaborate with Human Capital, HRIS Analyst and Payroll Accountant for any data, data integration or tax issues.
  • Attend trainings as needed.
Customer Service
  • Serve as a point of contact for our employees requesting information about their pay.
  • Participate in the New Hire Orientation to education staff on their pay.
  • Ability to recognize and report immediate needs and remove barriers.
  • Always maintain a professional and respectful composure.
  • Place our employees first and recognize their value to the organization.
Essential Functions:
  • Must be able to sit at a computer for most of the workday.
  • Must use public transportation to attend Win meetings and other related Payroll meetings.
Qualifications:
  • Commitment to Win's mission, vision, and values.
  • Minimum 2 years' payroll processing experience.
  • Bachelor's degree in accounting required, or other related field.
  • Experience working in a nonprofit organization a plus.
  • Expert ADP and Payroll experience required.
  • Proficient in Microsoft Office.
  • Excellent verbal and written skills required.
