Overview:

The primary role of the Specialist, Property Management is to provide support to the Asset Management team in all duties as it pertains to the financial obligations of Pacific Dental Services (as Tenant) to Landlords. The Specialist, Property Management will maintain and enhance Landlord relationships and meet organizational and operational objectives. The incumbent will also be responsible for assisting in maintaining the efficacy of systems currently in place as it relates to the opening of new dental offices and subsequent adherence to Lease terms including the payment of monthly rents.

Responsibilities

  • Responsible for lease administration including:
  • Provide assistance with onboarding new Landlords by reaching out to them and providing with Tenant Contact Information
  • Collecting information pertinent to the financial management of the office
  • Confirming Rent Commencement Dates and rental payment amounts, researching and confirming with Landlord any co-tenancy obligations, processing any initial rental payments due, and taking any pre-paid rental credits against rental amounts
  • Coordinate with Real Estate Process Managers to identify those Leases that require pre-paid rental amounts and reach out to Landlord to collect W-9, confirm payment instructions, and processing amounts due
  • Abstract new Landlord Leases into the Property Works real estate management system including all Lease terms and monthly rents; provide Accounting Department with new Landlord information to allow them to assign a unique Supplier Code for Landlord
  • Assist in paying monthly rents to Landlords through the processing of monthly AP-File of recurring rents
  • Assist in creation of monthly AP-File for miscellaneous payments to Landlords including utilities, reconciliation payments, etc. by identifying, collecting, and processing Landlord billing upon receipt
  • Assist in creation of monthly Credit AP-File by identifying, collecting, and processing any Landlord credits due to Pacific Dental Services
  • Collect daily mail - both physical and electronic, scan hard copy statements and invoices into the system, and upload all documents into their appropriate Property Works and PDS files
  • Identify those account with balances that need to be addressed; review Landlord ledgers as necessary and process any applicable credits or amounts due
  • Track the receipt of CAM Reconciliations and yearly CAM amount changes, update in Property Works and process any applicable credits or amounts due
  • Assist Asset Manager with tracking Estoppels and SNDAs requested by Landlord; request information from Landlord as needed and coordinate with in-house counsel as appropriate
  • Process Landlord changes due to property sales and remit address changes, etc.; update in Property Works and communicate changes to Accounting and Risk Departments
  • Upload and abstract any Amendments to Lease with regards to Term Extensions, Expansions, and Relocations
  • Other duties as assigned by management

Qualifications

  • Bachelors Degree with 2-5 years commercial property management experience; in lieu of degree 7+ years of commercial property management experience is required
  • A general understanding of accounting and real estate principles
  • Extensive knowledge of Microsoft software applications and use of standard office equipment

Preferred

  • Experience in a multi-regional healthcare, retail, or dental company
