The specific days in the office are determined by managers based on business requirements. Join us in building a world where everyone can unite, take action, and create lasting change.Position OverviewThe Sponsorship and Exhibitor Services Specialist is responsible for securing revenue and managing core relationships with potential and returning sponsors and exhibitors for Rotary International's global meetings and events. This full-time position is performance-based and will focus on researching, developing relationships, securing new sponsors and commercial exhibitors, and managing and growing existing relationships. This role is contingent upon demonstrated results. Success in this role will include performance metrics based on continued progress towards revenue targets for years 2 and 3. The core locations for these years' meetings include Taipei, Taiwan; Honolulu, Hawaii, and Orlando, Florida. This position is part of the Meetings and Events area and reports to the Supervisor of Global Events Marketing & Promotions and works closely with the Manager of Finance and Sales.You Will Have
  • Bachelor's degree in marketing or business.
  • 3-5 years of experience in global sponsorship and exhibit sales, preferably in a nonprofit or association background.
  • A record of accomplishment of developing repeat, multi-year relationships is strongly preferred.
  • 2-3 years' experience developing tailored pitch decks, sponsor and exhibitor agreements, and pre-post event analytics.
  • Microsoft platforms (i.e., Excel, Word, and Outlook)
  • Knowledge of standard payment methods, policies, and procedures.
  • Strong oral and written communication skills needed to correspond effectively with prospects who represent corporate entities and volunteer groups.
  • Customer service oriented, for both internal and external clients, with strong interpersonal skills.
  • Ability to prioritize and handle multiple responsibilities simultaneously and to meet deadlines.
  • Close attention to detail, proofreading skills, and the ability to enter and maintain accurate and consistent data.
  • Ability to work well independently and in a team environment.

You Will Be Responsible ForSponsorship Activities
  • Develop initiatives to recruit new sponsors for meetings and events
  • Identify various agencies and organizations with potential to sponsor at Rotary events and programs
  • Draft sponsorship packages and opportunities for a variety of events, venues, and programs.
  • Work closely with Supervisor, Global Events Marketing & Promotions in designing flyers, brochures, and any applicable information on Rotary's website.
  • Works closely with Meeting Specialist, Exhibits and Shipping to develop the online sales system in Map Your Show for each event
  • Works closely with a cross functional team to review and approve prospect lists submitted by HOCs (host organization committees) and to communicate progress on that process
  • Ensure that sponsorship packages and grant applications are complete, executed, and updated, when necessary, by required deadlines
  • Develop and implement a sponsorship and commercial exhibit sales plan for increasing revenues cost-effectively.
  • Meet or exceed set targets for sponsorship and exhibit sales
  • Maintain a suitable record of all sponsorship activity such as progress timelines and contract values for meetings and events
  • Proactively build a healthy pipeline of new corporate relationships for sponsorship, exhibits, and other engagements
Exhibitor Activities
  • Develop a client management strategy to recruit and support licensed vendors, non-paying exhibitors, like clubs, districts, program leaders, and Rotary partners for meetings and events.
  • Work closely with Rotary's Brand Specialist, Licensing Specialist, Assistant General Counsel, RI Programs Supervisor, and Rotary's partnership relationship managers to develop and implement a strategy to cultivate relationships and support licensed vendors, non-paying exhibitors, and Rotary partners with their meetings and events exhibit.
  • Develop and implement an exhibit and client management plan to provide quality support to licensed vendors, non-paying exhibitors, and Rotary partners.
  • Work closely with Supervisor, Global Events Marketing & Promotions in designing flyers, brochures, and any applicable information on Rotary's website to provide comprehensive information to licensed vendors, non-paying exhibitors, and Rotary partners.
  • Cultivating relationships with licensed vendors, non-paying exhibitors, like clubs, districts, and program leaders, and Rotary partners who may pay at a break-even rate.
  • Work closely with Meeting Specialist, Exhibits and Shipping to develop the online exhibitor system in Map Your Show for each event.
  • Work closely with Meeting Specialist, Exhibits and Shipping to ensure a seamless transition for continued customer relationship support from prospective application through event execution for licensed vendors, non-paying exhibitors, and Rotary partners.
  • Work closely with Rotary's Brand Specialist, Licensing Specialist, Assistant General Counsel, RI Programs Supervisor, and Rotary's partnership relationship managers on ad-hoc exhibitor opportunities for licensed vendors, non-paying exhibitors, and Rotary partners as they arise.
Project Management and Contracts
  • Develop and maintain solid long-term relationships with sponsors and commercial exhibitors
  • Ensure that the Rotary International fulfills all its sponsorship agreements obligations by obtaining all required information from sponsors such as contact information, corporate logos, banners, and any other materials specified in the contract
  • Regularly review existing and new sponsorship agreements and exhibit applications, terms and conditions
Budget Development
  • Provide accounting and the client with required invoices and paperwork
  • Primary responsibility will be developing the sponsorship program budget and assisting Sr Budget Specialist and Manager, Finance and Sales for major events.
Assists With
  • Manager with various potential sponsors
  • Manager with planning meetings with HOCs
Communicates and Liaises with
  • General Counsel, Global Communication, Risk Management, Partnerships, Programs and Grants staff regarding recruiting and vetting of prospective and potential sponsors.
  • HOC's on all prospective and potential sponsorship solicitation and activation
  • Meetings & Events team on sponsorship activations, exhibit sales, payment, contracts, and fulfillment.

Salary range
  • $68,850 - $76,500
