Job Description:

POSITION SUMMARY

Provides direction and coordination of grant management functions. Develops and maintains systems to monitor, report and analyze public grants and contracts as well as provides stewardship for assigned public grants. Acts as a resource by working closely with Program Staff. In collaboration with Grant Management, Development, and Program Staff, coordinates and prepares renewal application submissions, RFPs/RFAs, mandated data collection, modification of grant budgets, periodic billing reports, and grant close-out documentation for assigned grants and cash flow as needed. Also responsible for two-way communication between program and fiscal staff counterparts to ensure good relationships with decision-makers who have an impact on our issues and mission. Responsible for analysis relating to PPGNY's annual operating budget.

DUTIES AND RESPONSIBILITIES

Grants Management and Oversight (40%)

  • In conjunction with program staff, prepare budgets for continuing renewal grant applications, RFPs/RFAs, modifications, and public funding sources for assigned grants.
  • Build a dialog and liaise with Program staff for smooth implementation of programs.
  • Make monitoring visits to programs and provide written reports with recommendations based on site visits.
  • Review assigned grants for consistency with proposals submitted and for compliance requirements. Communicate grant requirements to all relevant departments and ensure that we meet contract requirements. Keep VP, Grants Administration informed on the status of program compliance.
  • Directly monitor spending on public funding contracts for grants. Analyze budget variance reports with Grant Management and Program staff to develop spending plans to meet program goals and funding requirements.
  • Responsible for the identification of budget gaps and the development of recommendations for corrective action.
  • Reporting (50%)

  • Coordinate financial, program (narrative and statistical), and other required reports to public donors. Develop and maintain reporting systems to meet all funding requirements in liaison with administrative and programmatic departments. Evaluate internal decision-making and reporting processes on a periodic basis to ensure their effectiveness. Prepare Family Planning Annual Report (FPAR).
  • Develop, maintain, and monitor the schedule of grant submission activities, delivery of grant documents, and bills on schedule.
  • Audit and Fiscal Visit (5%)

  • Coordinate preparation of documentation for annual financial audit, A-133 audit, and various grant audits performed by public funding agencies.
  • Administrative & Special Projects (5%)

  • Research new donor funding sources and perform other educational and experience-related duties as required.
  • Update HHS accelerator and Grants Gateway and keep VP, Grant Administration informed of any problems/delays associated with the upkeep of funders database.
  • Provide backup support when VP, Grant Administration is absent.

    REQUIRED SKILLS/ABILITIES:

    • Excellent organizational skills and attention to detail.
    • Proficient in Microsoft Office Suite or similar software.
    • Ability to remain focused and calm in stressful situations.

    • Strong time management skills, including the ability to work in a high distraction environment.

    REQUIRED QUALIFICATIONS:

    • An ability equal to that usually derived from satisfactory completion of courses required for graduation from an accredited college or university with a Bachelor Degree in Accounting, Finance, or Business Administration.
    • Requires four (4) or five (5) years related experience with a not-for-profit or public funding agency.
    • Experience in monitoring, analyzing, and evaluating financial and programmatic information necessary.
    • Requires superb verbal and writing skills, strong interpersonal skills, and solid management ability.

    PREFERRED SKILLS/QUALIFICATIONS:

    • Must have strong budgeting and analytical skills and experience in utilizing spreadsheet (preferably Excel) fund accounting programs and word processing systems.
    • Excellent interpersonal skills.
    • Requires excellent ability to communicate ideas both verbally and in writing.
