Virgin Galactic is seeking a Senior Legal Specialist with five plus (5+) years of relevant experience to join our dynamic and fast-paced Legal Department.
Responsibilities
- Drive contract review process and workflow efficiencies in the contract management system, including supervising contract finalization and execution and internal approval processes.
- Supervise corporate entity compliance, including drafting and filing corporate annual reports with the Secretary of State, conduct research on Secretary of State websites, correspond with internal accounts payable team to timely pay Delaware franchise taxes for entities, and ensure annual reports' deadlines are met.
- Research laws and investigate issues as directed by attorneys.
- Manage litigation discovery requests, calendar due dates, collaborate with internal teams and outside counsel, ensure timely response, and maintain related records.
- Craft emails and other written correspondence, prepare agendas for meetings as instructed by attorneys
- Supervise the renewal of System for Award Management (SAM) Registrations for various legal entities, manage annual business license renewals, and ensure all deadlines are met.
- Responsible for daily operations of the outside law firm/vendor invoices, including managing new attorney engagement letters, resolving billing issues and coordinating with external billing specialists to process invoices.
- Prepare analysis and manage monthly outside law firm/vendors accruals process and produce reports in Legal Department's invoicing system, collaborate with internal accounting team, and identify and implement ongoing process improvements.
- Manage organization of fully-executed contracts and legal documents, as needed, in electronic format within legal drive.
- Schedule meetings on behalf of attorneys, including reserving conference rooms.
- Prepare and submit travel receipts/expense reports in expense management software on behalf of attorneys.
- Using advanced skills and knowledge to facilitate or complete complex legal documents such as pleadings, correspondence, reports and/or memoranda from minimal instructions and in support of assigned legal team; secures appropriate signatures and authorizations and mails or routes as designated.
- Prepares responses to legal correspondence per oral instruction or independently; obtains required signatures and in some cases, mails over own signature.
Required Skills and Experience
- Bachelor's degree in a related field preferred and/or paralegal certificate from an accredited college or university. In lieu of degree, equivalent education and/or experience may be considered.
- Minimum of 5 years of experience in a law firm and/or corporate in-house legal department.
- A positive, team-player attitude, and eagerness to help others.
- Experience with contract management system and invoicing system (Legal Tracker, formerly Serengeti, and Ironclad experience is a plus); litigation experience a plus.
- Ability to function independently with minimal supervision.
- Ability to maintain strict confidentiality, professionalism, and discretion.
- High degree of organizational and time management skills with ability to prioritize tasks and responsibilities and shift when necessary.
- Critical thinking and problem-solving skills to identify and resolve issues efficiently.
- Strong attention to detail, efficient and resourceful with strong follow-up and follow-through skills.
- Exceptional communication and interpersonal skills, with the ability to collaborate effectively.
- Strong technical skills, especially in Microsoft Suite.
- Excellent grammar, spelling, and proofreading skills, ensuring written materials prepared are complete, concise, and error-free.
The annual U.S. base salary range for this full-time position is $79,300.00–$121,000.00. The base pay actually offered will vary depending on job-related knowledge, skills, location, and experience and take into account internal equity. Other forms of pay (e.g., bonus or long term incentive) may be provided as part of the compensation package, in addition to a full range of medical, financial, and other benefits, dependent on the position offered.
