Job Description Hebbia is looking for a Senior People Operations Specialist to build and manage the core HR operations and programs for the People Team. This role blends detailed, day-to-day operations with broader strategic planning to help Hebbia scale from 60 current employees to 200+ over the next 24 months. This role is 5 days per week onsite in our SoHo office in NYC. Responsibilities
- Owning the end-to-end onboarding process for new hires including designing a robust orientation session that inspires new-hires about their long-term future at Hebbia, as well as, pre-employment background checks, I-9 completion, new hire paperwork.
- Build and maintain the full potential of Ripping, our current HRIS, by automating workflows and creating robust reporting capabilities that guide critical decision making.
- Operationalize Hebbia's first company-wide performance review while executing a vision on leveraging Hebbia's own AI product for a reimagining of how performance data is managed.
- Help bring our company-wide learning and development vision to life in partnership with the Head of People.
- Act as the primary point of contact between our PEO and employees, addressing and resolving issues in a timely manner
- Be the primary owner of our benefits administration including the facilitation of open Enrollment process as well as managing a move away from PEO in late 2025..
- Process and administer leave-of-absences requests and disability paperwork.
- Process annual reporting requirements, including EEO-1 reporting.
- Ensure accuracy and compliance with company policies and state legal requirements (wage rate notices, labor law posters, setting up new hire and annual harassment training, etc).
- Handle immigration processes and paperwork for employees requiring visas or work authorization, ensuring compliance with immigration laws and regulations.
- Maintain accurate and up-to-date employee files and records ensuring confidentiality and compliance with data protection regulations.
- Collaborate with the office team to plan and execute company outings, events, and employee recognition programs.
Who You Are
- 4-7 years of experience in People/HR operations or an HR generalist role
- Proficiency with HRIS systems such as Rippling, Bamboo, JustWorks, Workday, etc
- Deep experience managing the onboarding process for new hires
- Experience administering payroll and benefits is a plus
- Implementation and operations of performance management
- Detail-oriented with a proactive approach to problem-solving and a strong bias for action.
- Ability to work independently and as part of a team in a fast-paced environment.
- Passion for technology and AI is a plus.
- Strong organizational skills with the ability to multitask and prioritize effectively.
Compensation In consideration of market analysis and relevant factors, the salary range for this position is set between $100,000 and $140,000. However, adjustments outside of this range may be considered for candidates whose qualifications significantly differ from those outlined in the job description. Additionally, this role is eligible to participate in our equity plan and benefits program.
