Prepares and ensures appropriate approvals, enters/submits employment actions & pay, coordinates new hire information for ESM staff, faculty, graduate student positions. Provides confidential, professional and personalized conversations/interactions with staff, faculty & students. Coordinates and schedules HR-related meetings and events. Possesses strong organizational skills with a high-level of independence and the ability to handle highly confidential information with discretion in a professional manner.RESPONSIBILITIES:Project-based payroll coordination & transactions for Summer@Eastman; ECMS Summer Session; IML; Annual Graduate Stipends and other departments as needed:* Coordinates and enters data for project-based payroll actions; ensures the receipt of proper documentation for all payroll actions; and advises on proper payment method of requested payment inquiries.* Processes Extra compensation payments.* Reviews difficult and unique payroll and hiring-related problems for faculty, staff and graduate students using high level of judgement and problem-solving skills.* Ensures proper approval documentation has been received for all pay-related transactions.Project-based Hiring for ECMS Summer, Summer@Eastman and Graduate Studies, IML offices, and other departments as needed* Ensures instructors and graduate students are hired and paid accurately, timely in accordance with University policies;* Ensures that proper documentation accompanies all hiring & employment action requests.* Ensures proof of background check, and completion of Minors training requirements are documented for each new hire or volunteer where required.* Initiates Personnel Action Forms for instructors, staff and graduate students at the request of department coordinators with department manager and/or FAO approver documentation.* Responsible for ensuring confidentiality of all ESM faculty, staff and graduate student personnel information and records.Recruiting* Assists with staff recruiting by scheduling interviews, coordinating interview participants, scheduling and setting up conference room and greeting candidates.* Manages the set up for new instructors, reappointments and graduate students of ECMS, Summer@Eastman, IML & graduate studies.* Maintains tracker files & documentation for all ECMS, Summer@Eastman, IML actions (hires, reappointments, payments, etc.)Prizes & Awards* In coordination with ESM Finance, coordinates and tracks Endowed and Gift Prize and Award/ Process/Commencement Prizes and Awards:* Works with academic departments to track progress of awards, advise on missing information & to ensure checks are delivered/processed on-time.Administrative support* Conducts a weekly check-in meeting with managers &/or department coordinators for status update on hiring and payment-related activities to ensure status is provided and on-track.* Assists with, and may coordinate training for HR or finance related activities, including system support, such as myURHR, P2P, UKG and other related Workday activities.* Will be asked to occasionally support other administrative needs and to fill in at the Welcome Center or other high-level administrative posts during vacancies, leaves and vacations.* Maintains employee personnel files and keeps up-to-date on filing* Assists with updating existing Job descriptions as needed/requested* Completes monthly audit of reports to manager status in HR system to ensure department, manager & employee alignment* Completes ad hoc account reconciliations as neededTimekeeping/Approvals* Works with managers and timekeepers to ensure staff time reported is accurately coded and hourly-paid time is recorded in accordance with federal and NYS law and university timekeeping rulesOther duties as assignedQUALIFICATIONS:* Bachelors Degree in Human Resources, Organizational Management, or other business-related degree or combination of education and experience required.* Minimum of one-year applicable experience required* Two years HR administrative experience preferredRequired:* Working knowledge of NYS and Federal wage and hour rules, FLSA, and employment law fundamentals* Strong experience with Microsoft Word, Excel, PowerPoint.* Strong organizational skills with attention to detail.* Must be able to work independently and with minimal supervision* Ability to prioritize and multi-task work in a fast-paced environment.* Exceptional customer service skills.* Must be able to maintain confidentiality of highly sensitive employment and personnel information.The University of Rochester is committed to fostering, cultivating, and preserving a culture of equity, diversity, and inclusion to advance the Universitys mission to Learn, Discover, Heal, Create and Make the World Ever Better.
