Total Compensation Estimator ToolJob posting category - Open CompetitiveYour Specific Responsibilities:The incumbent performs a variety of clerical duties related to Epidemiology, Disease Control and Immunization Services (EDC-IS) and Refugee Health Assessment Program (RHAP) under the direct supervision of Operations Management Consultant I and Assistant Community Health Nursing Director. Clerical duties will vary and be assigned according to support of services needs at any given time. Incumbent will follow HIPAA regulations set by DOH to ensure confidentiality and privacy of the client health information. Incumbent will establish good rapport with staff and clients, provide positive customer service, be flexible, approachable and accept change readily and is a cross trained among all the clinics in the EDC-IS. Incumbent is expected to adhere to established Health Department policies and procedures. Monitors and maintains state mandated (VFC), non-state mandated (adult) and other federally funded (special projects) vaccine stock for the EDC-IS and RHAP clinics 24 hours a day, 7 days a week. Submits reports, maintains inventory control, prepares and tracks vaccine and supply orders to ensure timely and accurate documentation. Utilizes the Florida Health Online Tracking System (FLSHOTS) and the Health Management System (HMS) to accurately perform inventory control activities on all vaccine stock transferred and used by FDOH-MD clinics. Incumbent will utilize the FLSHOTS and the HMS as well as all databases for which legal access is provided by the Florida Department of Health in Miami-Dade County to accurately assess, verify and input immunization data collected from each client's immunization history and vaccinations per visit. Submits all necessary reports, statistics and outcomes for the VFC report. Monitors, orders and stocks vaccines for the Civil Surgeon program. Protects their vaccine inventory by auditing vaccines daily and maintains cold chain while vaccines are transported to and from the Civil Surgeon clinic. Coordinates ordering of vaccines and clinical supply for the clinic. Ensures log tags are functioning properly to CDC/VFC standards. Incumbent meets with supervisor monthly to strategically plan to purchase of vaccines. Researches and prepares purchase requisitions for adult and VFC vaccine supplies necessary for the smooth operations of the EDC-IS and RHAP programs. Ensures the quality of items delivered. Maintains inventory of supplies used by program staff and ensures timely ordering to restock necessary supplies. Responsible for receiving, verifying and logging in vaccines in FLSHOTS for EDS-IS and RHAP. Responsible for packing and arranging of vaccine for transport to clinic locations by incumbent or by courier. Maintain files for vaccine supply request and vaccine supply issues. Notifies all concerned on any discrepancies in shipment. Notifies all concerned on any discrepancies in vaccine administration. Informs the supervisor and local purchasing agent on all shipments received and maintains a filing system of shipments for audit trail purposes. Operates a government motor vehicle to transport equipment, office and medical supplies within Florida Department of Health in Miami-Dade, outlying satellite, clinics and warehouses.Participates in workgroups, attends meetings, conference all and training as requested. Complies with program's protocols for calling in sick, tardiness and/or leave request. Respond to FDOH emergency alerts and Continuity of Operations Plan (COOP) call down list, etc. Ensures that email communications are maintaining daily. Performs all other duties as assigned.
