Position DetailsPosition Information Position Title Staff Assistant III Position Number 100008 FTE 1.0 FLSA Non-Exempt Pay Rate $44,640 annually, plus benefits Position Type Full-TimePosting Detail Posting Number 270 Essential Function This is a professional staff position providing a high level of support for the Associate Vice Chancellor for Workforce and Economic Development. This position will be responsible for day-to-day and long-term workforce and economic development programs and projects.Responsibilities and Duties Maintain calendar, events, and activities of the Workforce and Economic Development division. Plan and coordinate workforce and economic development related functions, events and training opportunities, as needed. Maintain the calendar of events for the State Regents' Economic Development Council and Career Services Council. Create communications for the Economic Development Council and Career Services Council, including meeting invitations, agendas, meeting minutes, and follow-up notes. Assist the Associate Vice Chancellor for Workforce and Economic Development in coordinating the Economic Development Grant Program by forming a review team, conducting the selection process, preparing follow-up letters to grantees, drafting press releases about grant awards and monitoring the program budget. Maintain the State Regents' Workforce and Economic Development webpage and work with the Communications division to ensure timely website updates. Assist with management and preparation of the division cost center and travel documentation for workforce and economic development division. Assist with management of strategic planning documents and identifying action-items aligned with strategic initiatives, goal and objectives. Assist Associate Vice Chancellor for Workforce and Economic Development with recurring workforce and economic development reports. Assists the Associate Vice Chancellor for Workforce and Economic Development with communication and deadline management regarding data exchanges with the Oklahoma Employment Security Commission, the Oklahoma Tax Commission, and the Oklahoma Department of Commerce. Assists the Director of Workforce and Economic Development with communication and deadline management of on-going data exchanges and employment outcomes projects with the U.S. Census Bureau. Fills in for the Associate Vice Chancellor for Workforce and Economic Development at meetings as needed. Other similar duties as assigned.Minimum Qualifications Associate or Bachelor's degree and (5) years administrative experience or a combination of post-secondary education and work-related experience required. Must possess and be able to demonstrate proficiency in MS Outlook, Word and Excel. Must have strong writing and editing skills and attention to detail. Must have a high level of organizational skill and ability to work cooperatively with institutional and business representatives and other staff. Preferred Qualifications Experience at a college or university or with workforce development, economic development, or career services preferred. Supervision The employee performs work under the supervision of the Associate Vice Chancellor for Workforce and Economic Development.Work Hours Agency offices are open to the public from 8 A.M. to 5 P.M. Monday through Friday. These are the normal office hours for Agency employees. Physical Demands Ability to sit and stand for extended periods of time. Exhibit manual dexterity and hand-eye coordination to operate a computer, keyboard, photocopier, telephone, calculator and other office equipment. Ability to see and read a computer screen and printed material with or without vision aids. Ability to hear and understand speech at normal levels, with or without aids. Ability to communicate clearly. Physical ability to lift up to 25 pounds, to bend, stoop, climb stairs, walk and reach. Must use the proper manual handling equipment including but not limited to dollies, carts and lift team members.
