Staff AssistantCLASSIFICATION TITLE: Staff AssistantSUPERVISION:Must be able to work independently and in a team. This position reports directly to the County Extension Director and does not oversee any additional staff. WORK SCHEDULE:Must be available for assigned hours Monday through Friday, 8:00 AM to 5:00 PM, with 1 hour lunch from 12:00-1:00pm. However, this position will require irregular work hours after 5:00 PM and occasionally before 8:00 AM, as requested by the immediate supervisor during weekday and weekend programming. Position will work no more than 80 hours biweekly. Position is open until filled. EXPECTED SALARY: $16 hourly with a 90 day review potential for increase in hourly wage. MINIMUM REQUIREMENTS: Applicants must be at least 18 years of age and have graduated high school. Must possess and maintain a valid Florida driver's license and any other endorsements necessary to legally operate vehicles used while assigned to this position for the purposes of travel to county, district and state events and other duties assigned.Must be able to pass a level 2 background check and drug test.Must be able to pass 15 passenger van driving test. Able to keep confidential records and information private PREFERRED QUALIFICATIONS: Experience working with diverse youth and adult audiences Skill in the use various computer programs such as quickbooks, canva, website management software, etc.Knowledge of public records management proceduresSkills in problem solving, critical thinking and conflict resolutionCustomer service experienceAbility to prioritize tasks and manage multiple responsibilities Agricultural background Knowledge of BOCC and/or UF proceduresJOB DESCRIPTION: This position provides general administrative and/or clerical support including tracking of assets, finance and inventory, reception, preparing for meetings, and preparing correspondence for the Agricultural Extension Office. Successful candidates must be able to work independently with direction from supervisor and pass a level 2 background check and drug screening. They must also be able to support Extension programmatic responsibilities related to (a) positive youth development within 4-H (b) agriculture and natural resources programs and (c) planning related to overall organizational systems within the office and at community events. Essential functions of the job and the percentage of time spent on each function: 55%- Greets, announces and routes visitors. Receives, documents and routes telephone calls and contacts according to specified procedures. Compiles and maintains directories, contact lists, etc. Operates office equipment such as computers, copy machine, postage machine, fax machine, scanner, etc. Able to assist in loading equipment and program materials as needed up to 50lb. Assist in preparation of correspondence, email, performing other administrative and secretarial duties as needed for faculty and program staff at the Gilchrist County Extension Office. Educates citizens, other agencies, etc. about the Extension office services then directs them to the appropriate resources or agent. Maintain office calendar, documents scheduling for Extension use and facilities, provides support as needed to prepare for meetings, set up meeting spaces, track registrations, set up technology as needed, and perform other duties as assigned. Provides assistance to faculty and program staff on day to day activities such as typing documents, proofing bulletins, creating communications content, compiling data, running reports, and other written needs. Updates and maintains website, blog, media and databases as needed. Coordinates facility and vehicle maintenance by requesting work orders or scheduling services as needed. Assists with inputting travel requests. Keeps office organized and ready to receive public at all times including light cleaning, storage and inventories. Prepares incoming and outgoing mail packages. 20%- Receives and handles funds for programs, executes necessary documents for backup information, reconciles receipts and files accounting records. Submits timely reports and communications to the University and BOCC as requested by the Extension Director. Oversees inventory on hand and tracks use for future ordering. Tracks budget expenditures, purchase requests and files documentation in a timely manner as per county policies. Writes receipts, deposits, and invoices as needed. Oversees 4-H club accounting procedures, requests, and documentation as needed. 20%- Assists volunteers and youth with technical writing, providing resources, administration support 4-H online, screenings, and club support. Assists with youth programming and chaperoning.5% Performs other duties as assigned by the County Extension Director. Thank you for your interest in employment with Gilchrist County.
