Position Summary:

In keeping with our organization's goal of improving the lives of the Residents we serve, the Clinical Scheduling Specialist ensures proper staffing is kept at all times in the facility to meet the needs of the Residents while in compliance with federal, state, and local regulations, budgetary and census guidelines.

Principal Duties and Responsibilities:

  • Assures adequate number of staff are scheduled at all times to meet the Residents' needs as well as federal, state, and local regulations.
  • Assures monthly and daily staffing records are completed on time.
  • Secures coverage for vacancy shift, open positions, vacations, and staff call-offs.
  • Creates the clinical master schedule and uses discretion and independent judgment in maintaining the master schedule and modifying it based on the budgeted census.
  • Identifies areas of improvement in the scheduling process; creates and maintains scheduling processes and procedures.
  • Assists the payroll coordinator with accuracy and verification of all hours worked by nursing staff.
  • Records employee attendance and issues disciplinary action in accordance with the attendance policy.
  • Assists in the interview process for Certified Nurse Aides and makes recommendations for hiring.
  • Assists the Administrator and other department heads with the daily operations of the entire facility. May be assigned temporary or long-term assignments in various departments.
  • Reports all hazardous conditions, damaged equipment, and supply issues to appropriate persons.
  • Assure that established infection control and standard precaution practices are always maintained. Follow established safety precautions when preforming tasks and using equipment and supplies.
  • Maintains the comfort, privacy and dignity of Residents and interacts with them in a manner that displays warmth, respect and promotes a caring environment.
  • Communicates and interacts effectively and tactfully with Residents, visitors, families, peers, and supervisors.
  • Answers and respond to call lights promptly and courteously when working in Resident's care areas.
  • Attend staff meetings and in-services as requested. Attends in-service and education programs and attends continuing education required for maintenance of professional certification or licensure.
  • Maintains a high level of confidentiality in accordance with HIPAA guidelines at all times and protects confidential information by only providing information on a need-to-know basis.
  • Understands Infection Control and follows the Company's Infection Control guidelines, such as hand washing principles, understanding of isolation and standard precautions, recognizing signs and symptoms of infection, demonstrating, and understanding of the process for identifying and handling infectious waste and cross contamination, maintaining personal hygiene, and complying with OSHA standards in the workplace.
  • Promotes and Protects Resident Rights by assisting Residents to make informed decisions, treating Residents with dignity and respect, protecting Residents' personal belongings, reporting suspected abuse or neglect, avoiding the need for physical restraints in accordance with current professional standards, and supporting independent expression, choice and decision-making consistent with applicable laws and regulations.

Supervisory Responsibility:This position has no supervisory responsibilities.

Required/Desired Qualifications:

Education, Training, and Experience:

  • High school diploma or equivalent.
  • Two years of related experience.
  • CNA Certification.

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and communication skills.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite.
