Location: Attleboro,MA, USA
Performs clerical work to assist the Director and Coordinator of Volunteer & Student Services. Assist with the screening, training and scheduling of all volunteers and students assigned to assist the staff in providing care for a group of patients spanning all age groups, cultures and disability concerns; assists the Director and Coordinator in all areas of the Volunteer & Student Services department.
Required Qualifications and Skills:
* Command of verbal and written English, computer literate, positive interpersonal communication and good organizational skills.
* Demonstrates knowledge and skills necessary to assist the Coordinator communicating with, screening, orienting and training people from 15-90+ years old who want to volunteer, shadow or fulfill internship requirements at the hospital or its affiliates
* Ability to operate and use existing computer software and HIS database in the performance of duties
* Ability to use telecommunication devices to receive and direct all incoming messages to appropriate personnel.
Preferred Qualifications and Skills:
* Proficient in Microsoft Office preferred
Essential Job Functions:
* Under the general supervision of the Coordinator and within established hospital and departmental policies and procedures, uses the computer for all correspondence, schedules, and reports.
* Assists with the screening and placement of volunteers. Handles visitors and telephone calls, does reference checks, verifies records, enters data, takes and processes ID badges, and schedules appointments.
* Schedules volunteer and student orientations and training workshops, and assists with the training of volunteers and students to reflect consideration of the patient's age, specific needs and cultural issues, and disability concerns.
* Assists with Volunteer and Student orientations and trainings.
* Assists with the scheduling and reassignments of volunteers to ensure service areas have adequate coverage. Helps to fill additional requests for volunteer help and tracks work being done in the Volunteer office for other departments and off-site facilities.
* Helps coordinate volunteer coverage for areas needing volunteer help on the weekends, holidays and for special functions and/or events.
* Assists with the Wheaton College Program. Processes student information and assists with placement.
* Assists with the training of volunteers and students assigned to work in the office and workroom.
* Fills out incident reports on volunteers who are injured on the job and documents pertinent information that is needed for the resolution of problems or issues regarding volunteers and students.
* Covers the office in the absence of the Coordinator.
* Assist with all volunteer and student functions (award parties, National Volunteer Week, special events, Career Fairs, etc.).
* Assists with the Home Volunteer Program by logging and tracking donations and hours of services. Distributes items made by Home Volunteers to appropriate departments and sends out acknowledgement letters.
* Assists with the Christmas Day Volunteer Program.
* Participates in community events when needed
* Assist with ordering supplies for the department.
* Responsible for general and secondary tasks as needed or assigned.
