What you would be doing: You will be working closely with the Administrator, DON and HR Director to create and manage staffing schedules and assures staffing levels are adjusted as needed to meet census and resident care needs. What your work schedule would be: This positions' typical schedule is Monday - Friday 7:am - 4:00pm, and possibly one weekend day every 4 - 6 weeks. Overview The Staffing Coordinator and HR Assistant is responsible to create and manage staffing schedules under the Administrator in coordination with the Director of Nursing and HR Director and assures staffing levels are adjusted as needed to meet census and resident care needs. This position requires a detail oriented, analytical person with the ability to negotiate with team members to assure the facility is staffed properly. This candidate will also work on Human Resources duties assigned by The Human Resources Director, as outlined in the Human Resources Competency Checklist. This position requires multi-tasking skills and the ability to handle and communicate jointly with the HR Director who may be physically off site from the facility the majority of the time. While many tasks will share joint or partial responsibility, the Staffing Coordinator and HR Assistant should be cross-trained in all aspects of the Human Resources Director job description and duties as well. - Preferred Associate Degree at minimum or equivalent.
- Requires and understanding of budgets, per patient day scheduling, and ability to be flexible and manipulate schedules as needed.
- Excellent computer skills and the ability to work within scheduling software required, frequent email management.
- Strong organizational, analytical, and math skills; oral and written communication skills required.
- Able to work with staff and vendors in a positive and productive manner.
- Knowledge of regulatory standards and compliance requirements.
- Working knowledge of personal computer and software applications used in job functions, (word processing, graphics, databases, spreadsheets, etc.)
- Excellent time management skills and multi-tasking ability.

- Works closely with the Administrator and Department Heads to determine nurse scheduling needs.
- Utilizes company provided HRIS software for all scheduling, payroll, and employee communications.
- Completes and posts the schedule for the next month no less than 10 days prior to the first of the following month.
- Schedules at least one RN for 8 hours daily and communicates to the Director of Nursing openings in this area PRIOR to the occurrence.
- Maintains an accurate on call list and listing of employee phone numbers and emails to address schedule changes.
- Adjusts schedules based on census, ppd assignments, and resident needs.
- Minimizes the need for using staff on overtime by first notifying staff who are part time, contingent or non overtime to fill schedule needs.
- Submits a daily report to the Department Heads and Administrator related to overtime utilization.
- Daily monitors nursing department attendance and notifies DON of employees requiring disciplinary actions according to policy and ensures proper documentation is returned to HR.
- Daily reviews staffing schedules and reports to Administrator and DON any openings.
- Works closely with team members to honor scheduling needs
- Completes daily assignments and posts daily public staffing posting.
- Maintains 18 months of staff posting records in an easily retrievable file.
- Communicates with department heads as needed related to staffing needs and issues.
- Coordinates and communicates with on call staff to assure call ins are managed during off hours.
- Develops positive working relationship with team members to assure a supportive and team environment needed to cover open shifts.
- Other duties as assigned.
HR Assistant Duties:
- Recruitment management - opening and closing job postings, managing applicant flow and assisting department heads through the entire recruitment process
- Managing orientation schedule and initiating new hire onboarding
- Enrolling new employees into the timeclock as needed
- Following the payroll processing checklist
- Initiating PCN forms and providing to HR Director for completion
- Reviewing unpaid employee reports with HR Director
- Running Reports in HRIS system as needed
- Initiate and collect documents related to FMLA and personal leaves
- Participate in data collection and entry for PBJ
- Track and monitor employee disciplines
- Maintain and update employee binders (License and Certifications, I9, CPR, injury, ect)
- Ensure work injury binders are stocked and new injury reports are fully completed and filed with the workers comp carrier and ongoing questions are answered timely
- Employee tech support liaison - assist employees with username and password issues with HRIS, PCC, ect.
- Ensure Separation notices are completed and forwarded to the HR Director for timely processing
- Collect and prepare documents for HR Director to complete unemployment claims
- Employee file management - ensure documents for the employee file are kept confidential and filed in the appropriate sections of the employee file. Ensure terminated employee files are timely moved to the termed cabinet. Work with the HR Director to turnover files at the end of the year to send to storage.
