While the duties of the START Logistics Assistant will vary from day to day, the primary responsibility is to support the START staff by ensuring they have the materials and supplies needed to welcome new students to Oregon State. This position is a seasonal role, with work occurring from March 31st through October 5th, 2025General Position Expectations
- Attend all assigned START events, trainings, and required office hours, as well as any assigned meetings with the START professional staff or campus partners
- Develop a positive working relationship with all START Orientation staff and co-workers
- Treat all START staff members, campus partners, and incoming students and families with courtesy, respect, and consideration
- Engage in conversations about equity and social justice, and develop an understanding of how systems of oppression impact incoming students
- Functions as a team player in the office and virtual environments where our work happens
- Serve as a role model and mentor for all new students
Position Details (subject to change)
- This position will be compensated at $15.90 per hour.
- Paid spring training will occur weekly from March 31, 2025 through June 13, 2025. Staff can expect to work 5-6 hours per week during this period.
- This will consist of weekly trainings throughout the spring term
- Paid June training will take place June 16-June 25, 2025, and staff will be expected to work up to 40 hours that week. This will be in-person in Corvallis, OR.
- Staff will then work 15-20 hours per week starting June 25, 2025 through October 5, 2025. This work will happen in person in Corvallis, OR.
- Opportunities may exist for up to 40 hours per week during the summer, if the department needs and candidates desire to work. This work may include tasks beyond the scope of this job description, upon approval by both manager and employee. 40 hours per week of work is not guaranteed.
- Logistic Assistants are required to be at all summer START sessions which will occur in the months of June, July, August, and September.
- Please note that taking 6 or more credits of summer school classes will limit the number of hours you are able to work to 24 hours maximum.
- Anticipated work dates are all START dates which will occur in June, July, and August, as well as some hours on the day before each START date. Anticipated work schedule will include 5-8 hours on prep days and up to 9 hours on START days, with available shifts over an extended time period from 6am to 10pm. Multiple staff will cover these shifts together as a team.
Position Duties Pre-START Preparation- 40%
- Manage materials in several START storage and staging spaces, keeping spaces and items organized, clean, and tidy. This includes stocking shelves with START materials, vacuuming, breaking down boxes, taking out recycling and trash, replenishing flyers for folder stuffing, rearranging storage containers, etc
- Create START folders for students and guests by putting the correct flyers in each folder. Maintain an inventory of each type of completed folder for ordering and planning purposes
- For each session, alphabetize, organize, and label student folders prior to check-in
- Organize name tags for each student and put them together with a lanyard
- Assist with the setup of a-frame signage to help guide START participants
- Utilize Adobe Illustrator to make any START schedule changes and updates. Work with Supervisor to review, print, and pack agendas for START for each session as needed
- Assist in the pick up and return of university van rental from Motorpool. Drive the university van to transport inventory items from Waldo, load everything securely, and park it at the specified location overnight, as well as specified locations during START day
- Prep, manage, and pack the following inventory for START, ensuring all items are accounted for and ready for use:
- Check-in items including tables, tablecloths, tents, chairs, signage, pens, hand held scanners, laptops, check-in signs, extra schedules, extra student and guest folders, QR codes, and folder totes for students and guests
- Colleges and small group signage, a-frames and directional signage for various START locations
- All extra materials, such as nametags, lanyards, sharpies, and pens
- Ensure all START materials are labeled with Property of OSO stickers for proper identification and tracking
- Use university van to transport all regularly used START items to Reser Stadium storage arena before START session officially begins, ensuring easy access during the setup of check-in
- Engage with START Leaders and professional staff to ensure that all support needs are being met.
- Be accessible on Microsoft Teams for quick communication and support with the START team
- Prepare for various weather conditions and adapt setups accordingly for participant comfort.
During START Logistics Support - 40%
- Deliver START items to their location prior to them being needed there, using university vehicle to drive materials to needed locations
- Set up spaces in advance of START being there, including powerpoints, computer logins, music, and triage if there are any issues (locked doors, blocked sidewalks, etc)
- Ensure all physical signs are posted around campus according to desired placement, as well as the set up and take down of all physical signs and check-in items
- Drive or walk across campus when needed to collect and deliver extra materials/supplies
- Deliver start customer service items to their needed location before they're needed, often using university vehicle to drive materials to needed locations
- Ensure all items are presented in a professional way, including table cloths on tables and fully stocked customer service items
- Assist in mic passing during student and parent START panels
- After START finishes at a location, follow up and collect/store items for next event, often using university vehicle to drive materials to needed locations
- Serve as directional support for guests, helping them locate next session
- Serve as late-night clean-up crew, moving supplies from use to storage after social activities finish
- Serve as late-night customer service support if guests have issues or challenges with housing
Post-START Logistics Support - 5%
- Assist with the organization and cleaning of storage areas once summer START is near completion, ensuring all materials are returned to their designated places.
- Maintain an updated inventory list of all START materials, documenting items used during events and identifying any missing supplies.
- Manage the organization of items stored in the SEC (Student Experience Center) storage area, ensuring everything is neatly stored and easily accessible for future use.
- Deliver any forgotten items to campus partners promptly and coordinate the retrieval of START materials from campus partners after events.
- Keep open lines of communication with START staff and campus partners to facilitate smooth transitions and ensure all items are accounted for.
Office and administrative work - 5%
- Respond to email messages in a timely manner through work email account(s)
- Support larger or project-related tasks, including stuffing folders, labeling materials, and more
- Use MS Excel, as well as Box and Google, to track START attendance
- Assist the Office Assistants in data entry or office projects related to START
- Regularly engage on MS Teams and attend to all assigned tasks and messages present there
- Attend all staff meetings, pod meetings, and 1:1 meetings with supervisor and senior start leaders
Program support for incoming students - 5%
- Maintain positive customer service in all engagements with incoming students and families
- Maintain a calm demeanor when interacting with students or families who may be emotional or upset
- Act as a resource guide and referral agent for campus services and programs
- Refer students and families to the appropriate staff person once the limits of knowledge are reached
Emergencies and confidentiality - 5%
- Maintain the confidentiality of all visitor, student, staff, faculty, and parent information as needed
- Maintain the confidentiality of records as stipulated in FERPA (Family Educational Rights and Privacy Act) utilizing confidential software when required
- Report emergencies and accidents to appropriate departments
- Uphold all Oregon Public Official ethics rules and guidelines and asks for clarification if needed before disclosing any information outside of START orientation
- Assist all Law Enforcement Agencies when necessary and within OSU policy and procedure
- Other duties as assigned

- Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
- Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
- Must meet the applicable minimal enrollment standard
- High School student: Regularly enrolled in a high school or participating in a home-schooling program
- Undergraduate and post-baccalaureate student: 6 credit hours per term
- Undergraduate international student: 12 credit hours per term*
