VISION: Transform the university through the power of generosityMISSION: Unite donor passions with university priorities to elevate the impact of Oklahoma State UniversityDEPARTMENT PURPOSE: The Strategic Engagement team's purpose is to intentionally build authentic lifelong relationships with the Cowboy Family to inspire their greatest level of philanthropic impact on Oklahoma State University.PRIMARY PURPOSE: The Oklahoma State University Foundation seeks an organized, self-motivated, undergraduate student with a high level of professionalism to assist with volunteer engagement and events initiatives. This role offers a combination of hands-on event experience and behind-the-scenes coordination, making it ideal for a student interested in event planning, nonprofit administration, or higher education fundraising.This position will require working 12-20 hours per week. Work schedule is flexible, mostly between the hours of 8:30 am - 5 pm, Monday through Friday. Occasional evening or weekend hours may be requested for event support, but not required. Looking for position to be filled for the spring 2025 semester with opportunity to continue through summer and beyond.KEY AREAS OF FOCUS
- Event RSVP Coordination:
- Track and manage guest RSVP lists for the Women for OSU Symposium event.
- Send confirmation emails to attendees and update records in the event database.
- Follow up with invitees to confirm attendance, as needed.
- Sponsor Communication Assistance:
- Support communication with event sponsors, including acknowledging seat donations and responding to basic inquiries.
- Assist with preparing and distributing event-related materials to sponsors.
- Campaign Launch Event Support:
- Provide administrative and logistical support for campaign launch events, including tracking schedules, organizing materials, and assisting with planning tasks.
- Assist with day-of event execution, such as attendee check-in, set-up, and troubleshooting.
- Administrative Support:
- Organize and maintain event-related documentation, such as guest lists, seating charts, and correspondence logs.
- Assist with preparing reports or summaries related to event attendance and sponsor participation.
- General Event Preparation:
- Help with logistical tasks leading up to events, such as assembling name tags, preparing seating materials, and organizing supplies.
- Provide on-site support during events, offering hands-on experience in event management.
- Other duties as assigned.
JOB COMPETENCIES AND EXPERIENCE:
- Education & Certifications:
- Oklahoma State University student in good standing with the university. Pursuing a degree in marketing, business, communications, journalism, HTM, or related fields preferred, but not required.
- Experience
- Experience in customer service or related experience interacting with the public preferred
- Background in marketing, communications, events or non-profits preferred, but not required.
- Experience in writing preferred, but not required.
- Proficiency in Microsoft Office products
- Organizational Competencies:
- Excellent oral and written communication skills
- Ability to multi-task and meet deadlines with little supervision
- Knowledge of correct English usage, spelling, grammar, etc.; modern office methods and procedures; and equipment and filing systems
- Ability to interact and collaborate with fellow team members, campus partners and OSU student
PHYSICAL REQUIREMENTS:Must use a computer terminal and view a computer screen for extended periods of time. Must be able to comfortably talk in person or by phone to people on campus and across the country. Must constantly use visual acuity to check printed and designed material
