Position Title: Student Accounts Assistant FTE: 1.0 Department: Business & Finance Reports To: Director of Student Accounts FLSA: Non-Exempt
This position promotes and supports the learning experience of Marian University students by, assisting students and their families, faculty, and staff in coordinating the student account receivables operations of the Business Office, as well as support the Director of Student Accounts in ensuring accurate student account billing and payment processing.
ESSENTIAL FUNCTIONS:
Student Accounts Administrative Support - 60%
* Monitor daily phone, email, and in-person communication; providing customer service to students, families, staff, and faculty, as well as being knowledgeable about campus resources and referring students to them; working closely with other departments to support and engage students.
* Work within the Student Information System, as well as create and maintain spreadsheets as needed, to monitor and maintain accurate student accounts, create invoices, and track and monitor special programs.
* Be knowledgeable in the use of 3rd party student payment platforms and advise students on their use, including trouble shooting.
* General office duties such as coordination of incoming and outgoing departmental mail, copying, scanning, filing, etc.
* Represent the Office of Business & Finance during campus events as needed.
* Maintains a positive work environment by cooperating in a professional manner with the University community.
Cash Management -35%
* Responsible for daily cash receipt functions:
* Maintain proper handling and recording of all incoming payments, including issuance of receipts and daily reconciliation and documentation of all incoming payments.
* Prepares and coordinates daily bank deposit transactions, including remote and in-person deposits
* Tracking and monthly reconciliation of Petty Cash.
OTHER RESPONSIBILITIES: - 5%
* Performs other work-related duties as assigned.
EDUCATION, EXPERIENCE, and SKILLS REQUIRED:
* Associates Degree with 3-5 years of prior administrative office or equivalent experience. A combination of education and experience may be considered.
* Computer literate and proficient in Microsoft Office (Primarily Word & Excel).
* Cash handling and management experience
* Knowledge of modern office practices and procedures as well as knowledge of office equipment and machines.
* Strong oral and written communication and interpersonal skills.
* Exceptional organizational and time management skills.
* Ethical comportment and high regard for confidentiality.
* Must be accurate with numbers and data.
* Willingness to support the Mission and Core Values of the University.
