Job Purpose: Provide confidential, consistent, and professional support to the Dean of Students (DoS) and the Form Dean team, the Dean of DEI, and the Associate Head of School and interact with students, families, and colleagues and constituents to provide timely customer service.Essential Job Duties and Responsibilities:
- Manage calendar, schedule meetings, maintain records and issue correspondence related to Student Life initiatives, discipline, attendance and student travel
- Participate in Arrival Days, Student Orientation, and Move Out events and planning (Labor Day and Memorial Day weekends)
- Student Life database management:
- Manage Student Life databases (attendance / conduct), verifies information by cross-checking across Pomfret's systems (ORAH, Sundial SIS, Health Center Reporting), and processes student life forms
- Monitor attendance for all students regarding classes, activities, chapel, meetings, athletics, etc. and issue reports and consequences as directed by the DoS office
- Supports the planning and execution of Student Life events and activities
- Manage daily, weekend, and off-campus permissions through ORAH
- Facilitate travel requests and confirm completeness and accuracy through the student engagement platform, ORAH
- Manage travel partnerships (DATTCO Busing, Legend's Livery, faculty drivers and chaperones) to secure and plan safe and reliable transport services for students and families
- Manage all travel communication and billing:
- Issues travel notices and service reminders to families, in partnership with MarComm
- Shares confirmation notices with travelers and families
- Processes billing charges, in partnership with the Business Office
- Address and respond to unexpected needs of students and parents and respond to and redirect parental questions and requests
- Monitor school emergency line throughout the academic day
- Issue the Weekend Sheet outlining activities and dorm coverage assignments
- Negotiate with travel services and schedule vacation transportation for arrival and departures and Senior Trip
- Liaison for and coordinator to E&R Laundry Services and UPS Storage
- Support DoS and related offices during student Leadership Recruitment and training
- Build and replenish residential life resources and processes dormitory damage reports
- Continually strive to improve and enhance processes and systems
- Must adhere to all School policies as outlined in the Employee Handbook
- Continually meet or exceed Pomfret School's Standards of Behavior, Character, and Engagement
- Perform other duties as assigned
Requirements
- Excellent interpersonal and communications skills with the ability to effectively present information in person, by phone and in writing, and respond to questions
- Strong knowledge of Microsoft Office and Google Workspace
- 3-5 years of experience in an office environment
- Able to work effectively as part of a collegial and professional team.
- Experience at an independent school, college, or university is preferred
- Approachable and welcoming personality
- Able to manage challenging and confidential situations with discretion, and greet all parties/circumstances with respect, sensitivity, and humor
- Demonstrated ability to grow skillset over time and use the most updated technologies to maintain high performance standards
- Excellent organizational skills: ability to meet deadlines; anticipate and plan for near- and long-term needs; and manage and prioritize competing demands/goals.
- Proficient with Microsoft Office and Google Workspace
- Enjoy working with high school students and be a confident representative of the school when talking with parents
- Must pass a nationwide criminal background check
- Able to read, write, speak, and understand English fluently
Work Conditions:
- On site position during academic terms
- Most work is conducted indoors but may require walking to different locations on campus in various weather conditions
