Focusing on Technology, Compliance, and Quality, the Registrar's Office connects students, faculty, and staff with approved policies, procedures, and processes to maintain timely and accurate academic records and curriculum. We balance best practices with forward thinking and new technologies to provide quality and compliant services to students, faculty, staff, and the community.

Primary Purpose of Position

The Student Services Specialist (Lead Conferral Specialist) executes various cross-functional aspects of registration, student records, and customer service to the UNCP community. The Lead Conferral Specialist is responsible for the degree audit, conferral and graduation processes for each student, including commencement preparation, issuing diplomas, applying course substitutions, waivers, and grade replacements, etc. This position will also support the major office processes of send/receive transcripts, transcript evaluation, drop/add/withdraw courses, major change, course overload, course repeat, address change, name change, degree/enrollment verifications, room scheduling, readmission, and more. This position interacts with a broad range of campus partners to support students. The Lead Conferral Specialist is responsible for answering and addressing/directing incoming calls to the Registrar phone lines, emails to the Registrar inboxes, and walk-ins and helping with internal office questions.

Job Description

Duties and Tasks:

* Professionally and clearly communicate when answering several phone lines, email boxes, and face-to-face inquiries from students, staff, faculty and other constituents; accurately advise to relevant policies, processes and resources; evaluate facts to troubleshoot issues.

* Lead the conferral team to task completion. Audit degree progress for final graduation clearance. Process degree conferral and graduation applications. Communicate eligibility requirements with students and advisors. Apply degree audit exceptions, including course substitution, grade replacement, and waiver requests. Monitor accuracy of degree audit system. Issue diplomas. Organize and execute commencement ceremony tasks, e.g. list of participants, grad finale event, honor cords, tickets, student check-in, etc.

* Provide support to Registrar Office functions as needed, including send/receive transcripts, transcript evaluation, drop/add/withdraw courses, major change, course overload, course repeat, address change, name change, degree/enrollment verifications, room scheduling, readmission, etc.

* Process mail and scan documents into corresponding student files.

* Update standard operating process documents quarterly.

* Contribute to the success of official events, including, but not limited to commencement and new student orientation, which may occur in evenings and weekends.

* Perform other duties as assigned.

* Knowledge of common higher education standards, policies and procedures, and FERPA.

* Student Information System experience preferred.
