Job DescriptionThis position supports the mission of the Student Affairs division by performing processes and providing services within the Welcome and One Stop Center, Finacial Aid, and Records & Registration. This position is responsible for managing placement materials and processes and for providing front line services to prospect and current students related to admissions, financial aid, records, and registration. This position is also responsible for student record imaging, appeal committee communication flows, and maintaining student records. All RCTC employees are responsible for promoting a culture that supports diversity and inclusion in all forms while providing excellent customer service to all internal and external contacts.
Responsibilities- Process and document placement information to student files to ensure incoming students have the proper material on file for accurate course placement. Using the parameters outlined by multiple measures and the associated guidelines developed by faculty, critically evaluate placement materials and enter institutional placement scores as appropriate. Communicate additional placement materials needed and/or the need to complete placement testing to students when necessary.
- Provide a welcoming environment in the Welcome and One Stop Center to facilitate recruitment and retention of student populations. Assist all stakeholders electronically and in person with positive and professional language. Provide information about RCTC and its services, programs, and policies. Collaborate with members of the Welcome and One Stop team to efficiently onboard new students. Enter prospect information into the student record system.
- Prepare all documents for imaging into student permanent records. Electronically index student records into imaging and guidance to other users. Resolve data mismatches and ensure the integrity of the imaging system for end users. Understand and follow procedures necessary to maintain office workflow. Process student record updates, changes, and requests (demographic changes, enrollment verifications, etc...) and provide support to graduation processes.
- Provide administrative support for the Satisfactory Academic Progress (SAP) Appeal Committee. Prepare appeals for committee review. Coordinate with other staff to ensure all documents are gathered from the Welcome Center, imaged, linked, and appropriate cover pages and transcripts added to the packet. Attend appeal meetings and record decisions. Communicate approvals to students and their advisor, including a list of next steps the student can expect. Manage appeals placed on hold for additional information, ensuring that these appeals are reviewed by the committee in a timely manner. Communicate denials to students, including referrals, drop options, payment plan information and next steps. Store all communication as part of the student electronic Appeal Packet, adding /routing the packet to the correct imaging workflow queue for the next step of processing, Maintain Appeal Committee database noting appeals and decisions for research purposes. Work closely with the RCTC Registrar and RCTC Financial Aid Director on any situation or circumstance that may be more complex.
- Participate in department and division initiatives and activities. Attend staff development, Student Affairs, and department meetings as directed. Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.
Minimum Qualifications- Communication skills sufficient to read, speak, and write effectively in the English language.
- Customer service skills sufficient to provide prompt, welcoming, courteous and accurate information to customers in person, on the phone, and through e-mail and other written correspondence.
- Knowledge and skill in data entry/spreadsheets sufficient to perform functions accurately using software such as Microsoft Word, sufficient to produce memos, correspondence and reports in an efficient and timely manner.
- Ability to maintain the confidentiality of private information according to law, rules, policies and procedures.
Preferred Qualification - Knowledge of RCTC including policies, procedures, and programs.
- Experience working with diverse clientele.
- Experience with the Intergrated Statewide Reporting System, DARS, and Perceptive Content.
- Strong analytical skills needed to accurately assess problems and apply RCTC policy and procedure to resolve as needed.
Other Requirements- Ability to stay stationary for long periods of time.
