Department of Human Resources131 E Washington St. Suite 1AAppleton, WI 54911P: (920) ###-#### F: (920) ###-####JOB DESCRIPTIONJob Title: Substitute SecretaryFSLA Status: Non-ExemptRelationship: Direct Supervisor: PrincipalThe purpose of this position is to assist in the operations of the school siteto ensure prompt and effective delivery of services in an educational environment. This position will perform routine clerical functions such as maintaining paper and electronic files, answering phones, greeting and screening persons entering the school, and directing them to the appropriate locations.Responsibilities, Tasks & Duties:Answers telephone questions for the public, pupils and staff in a fast-paced work environment, takes messages or routes callers to district resources and/or staff.Monitor the school entry, greet visitors in a professional and welcoming manner, and screen persons entering the school, determine the purpose of the visit, and direct them to the appropriate locations.Filing either electronically or in paper files all student records (including court documents, transcripts).Operate standard office machines and initiate maintenance calls.Assists with coverage for staff absences when needed. Works with administration to determine in-house coverage and prepares forms for signature.May be responsible for the health room operations as it relates to students and making parent contacts.Sorts and distributes daily mail and packages.Other duties as assigned.Based on site secretarial support the Principal may delegate certain duties.Minimum Qualifications:Minimal of high school diploma or GED/HSED.Word processing speed of at least 45 words per minute.Knowledge of basic office machines.Knowledge of or ability to learn computer operations applicable to the school setting.Knowledge and skilled in using business English, spelling and punctuation.Basic knowledge of record keeping.Ability to perform clerical duties and to independently make minor decisions in accordance with established regulations, procedures and policies.Ability to work with the public, students and the professional staff in a professional and positive manner.Ability to work with and maintain confidential materials.Essential Skills, Knowledge, and Abilities:Skill in using office equipment and spreadsheet, database and other software programs.Knowledge/skilled in office practices, word processing, spreadsheet, databases, google docs, and other software.General knowledge and interpretation of District, site or department rules or policies and state laws or regulations.Ability to assess student or staff health needs as to the immediacy of care.Ability to communicate effectively with others.Ability to work independently and problem solve.Ability to work in a multitasking and a fast-paced environment.Working Conditions:The work is performed primarily in an office environment where the incumbent may be exposed to sick and/or injured students and staff.Physical and Sensory Requirements:Lift up to 20 pounds.Carry documents, computer paper and/or other office materials.Push up to 40 pounds.Bend, stretch, twist, walk or reach requiring ordinary physical effort.Sit in one position for a prolonged period (3-4 hours).View computer screens or other monitoring devices for a prolonged period of time (3-4 hours).Candidates who apply prior to the deadline will receive first consideration.The Appleton Area School District is an Equal Opportunity employer and does not discriminate against applicants or employees based on race; age; sex or sexual orientation; gender or gender identity; creed or religion; color; handicap or disability; marital, citizenship, or veteran status; membership in the National Guard, state defense force, or reserves; national origin or ancestry; arrest or conviction record; use or non-use of lawful products off the District's premises during non-working hours; or any other characteristic protected by law.
