Title: Suite Service CoordinatorReports To: Manager of Suites ServiceDepartment: Suite Sales & ServicesSupervises People: NoAbout the RoleThe Chicago Bears are looking for a highly motivated and coachable individual with a passion for hospitality, service, and sales. We are currently hiring a Suite Service Coordinator responsible for supporting the client retention and acquisition efforts of the Chicago Bears Suite Sales & Service Department. This role works directly with the Manager of Suite Service to enhance and execute a best-in-class year-round service and retention program for every suite and skyline partner. The Suite Service Coordinator will primarily work out of our downtown Chicago office.Responsibilities
  • Daily contributor by supporting the execution of key projects, communicating with clients, activating contracted benefits for gameday and non-gameday events, processing and fulfilling suite sales orders for home games and third-party events, and helping the team achieve its short term and long-term goals.
  • Proactively serve as a designated point of contact for suite and skyline suite partners while providing customer service quality control.
  • Support the Manager and Suite Services Coordinator in all partnership activation and retention efforts including benefit fulfillment, event conception and planning, project management, and client meetings.
  • Work closely with the Director and Manager on business development and client retention strategy.
  • Input consumer and business data, benefits, and deal sheets into CRM.
  • Process and fulfill sales inventory through ticketing software.
  • Proactively contribute to the creative process for new experiences, special events, and industry best-practices for retention and engagement among premium clientele.
  • Assist in the hiring, training, and organizing of the premium hospitality gameday part-time staff.
  • Supports all gameday operations related to the PNC Executive Suites and Skyline Suite. This includes set-up and closing of premium areas at Soldier Field and supervising premium hospitality gameday staff.
  • Help source and fulfill client and prospect personalized gifting projects.
  • Work closely with Stadium Operations team to ensure suites and skyline spaces are always in premium condition and client-ready prior to gameday and third-party events.
  • Operate the Suite Management Office at every home game, respond to all customer service requests from suite guests, work with other Soldier Field departments to ensure requests are fulfilled promptly and appropriately.
  • Contribute to annual key projects such as invoicing, ticket support and fulfillment, coordinating tentpole events, right of first refusal offers, gameday activation, account management initiatives, and retention and engagement strategy.
Qualifications
  • Bachelor's degree in business, Sports Management, Marketing, Hospitality or other related field.
  • 1- 2 years of experience in hospitality, client services, or related field.
  • Demonstrated knowledge of Microsoft programs including Excel, Word, Outlook, and PowerPoint.
  • Must have excellent grammar, punctuation, and communication skills (written and oral).
  • Strong organizational skills and a keen attention to detail.
  • Ability to manage office administrative tasks
  • Able to work non-traditional hours, in non-traditional settings, including weekends, evenings and holidays including work all home games.
  • Ability to prioritize and manage multiple projects while working in a fast-paced environment.
  • Must be dependable, flexible and exhibit problem solving skills in a variety of situations.
  • Previous experience in sports/entertainment, events, or marketing preferred.
  • Experience with Microsoft Dynamics or other CRM and data driven software preferred.
