Job Description:
The Supervisor, Application Processing is responsible for managing and qualifying Commercial Driver License (CDL) drivers during the recruitment cycle, ensuring full compliancy with USDOT regulations. The successful candidate will lead our team of processors and oversee the seamless processing of applications received from the recruiting team, ensuring accuracy and adherence to all regulatory requirements. The Supervisor will process and have a strong knowledge base of USDOT and FMCSA rules and regulations for driver qualification. They will be committed to leading the team to process applications as quickly and efficiently as possible while partnering with our safety team to ensure all risk items are identified and fully investigated to mitigate as much qualification risk as possible.
Core Responsibilities & Duties:
* Provide leadership and direction to a team of four application processors, fostering a collaborative and efficient working environment. Offer support, guidance, and training as needed to ensure the team meets performance goals
* Oversee the intake and processing of commercial driver applications, including verifying completeness, accuracy, and compliance with USDOT regulations. Ensure all necessary documentation is obtained and maintained
* Ensure strict adherence to USDOT regulations and company policies throughout the application processing workflow. Verify driving records, conduct background checks, and manage drug testing procedures in accordance with regulatory standards
* Coordinate with internal departments to generate reports and documentation required for driver qualification. Ensure all necessary reports are completed accurately and submitted in a timely manner.
* Implement quality control measures to review and validate the accuracy and completeness of driver applications and associated documentation, identifying and addressing any discrepancies or issues promptly
* Serve as the primary point of contact for inquiries related to driver application processing, liaising effectively with internal stakeholders and external partners as needed to facilitate smooth operations
* Monitor team performance metrics and individual productivity to identify areas for improvement
* Implement strategies to optimize efficiency and meet processing deadlines
* Provide ongoing training and development opportunities for team members to enhance their skills and knowledge of motor carrier regulations and application processing procedures
* Foster a culture of continuous learning and improvement within the team
* Address and resolve any escalated issues or concerns related to driver application processing in a timely and effective manner
* Work collaboratively with team members and other departments to find solutions and prevent recurrence
* Continuously evaluate existing processes and workflows to identify opportunities for streamlining and efficiency gains
* Implement improvements and best practices to enhance the overall effectiveness of the application processing function
* Other duties as assigned
Qualifications:
* Bachelor's degree in business administration, logistics, or a related field preferred
* Minimum of 3 years of experience in driver application processing or a similar role within the transportation industry
* Strong understanding of USDOT regulations and motor carrier compliance requirements
* Excellent leadership and team management skills, with a focus on fostering collaboration and accountability
* Exceptional organizational and time management abilities, with a keen attention to detail
* Effective communication skills, both verbal and written, with the ability to interact professionally with internal and external stakeholders
* Proficiency in Microsoft Office Suite and other relevant software applications used for application processing and reporting
* Ability to thrive in a fast-paced, deadline-driven environment while maintaining a high level of accuracy and compliance
