JOB SUMMARY
Reporting to the Director of Materials, this position is responsible for overseeing both the reconciliation of production and non-production invoices and the management of materials to support production schedules and quality standards. The Supervisor will lead efforts to resolve discrepancies between supplier invoices, purchase orders, and receipts while ensuring the accuracy and availability of materials required for production. This dual role requires optimizing people and technology in a fast-paced manufacturing environment while ensuring compliance with all company policies and maintaining a lean and efficient operation.
ESSENTIAL DUTIES AND RESPONSIBILITIES
* Lead the Hold Team in resolving on-hold invoices by overseeing the reconciliation of discrepancies between supplier invoices, purchase orders, and receipts
* Manage materials and inventory processes to ensure accurate delivery of components required for production, while maintaining quality standards and adhering to lean manufacturing principle
* Analyze root causes of invoice discrepancies, implement corrective actions, and work with cross-functional teams to eliminate repeat issues.
* Oversee the receiving personnel and ensure all materials are accurately received, recorded, and stored in DocuWare and other inventory systems
* Coordinate with other departments and suppliers to manage inventory counts, ensure timely delivery of materials, and resolve missed or short shipments
* Track and report on performance metrics such as quality, safety, cost, delivery, and productivity for both invoice reconciliation and materials management functions
* Identify opportunities for process improvements in invoice reconciliation and materials management, implement solutions, and drive operational efficiency
* Ensure all shipping documents, invoices, and inventory records are properly maintained and stored
* Meet weekly targets for clearing on-hold supplier invoices and managing material deliveries in alignment with the production schedule
* Perform other related duties as assigned to support both the reconciliation and materials management functions
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
* Strong knowledge of invoice reconciliation processes, warehouse operations, and materials management within an ISO 9000 framework
* Proficiency in ERP systems, procurement software, and Microsoft Office Suite, particularly Excel
* Excellent leadership and communication skills, with the ability to lead teams in a fast-paced, team-based manufacturing environment
* Strong problem-solving skills, capable of diagnosing issues and implementing solutions that improve operational efficiency
* Knowledge of lean manufacturing principles, including just-in-time inventory and materials management processes
* Ability to work collaboratively with cross-functional teams, including procurement, accounting, and production departments
* Experience in a fast-paced manufacturing environment with rapidly changing objectives
* Proven experience in invoice reconciliation and resolving complex discrepancies in a manufacturing environment
EDUCATION AND EXPEREINCE:
* Bachelor's degree in Supply Chain Management, Business Administration, or a related field preferred
* 5 years of experience in procurement, supply chain management, or materials management, including at least 2 years in a supervisory or leadership role
* Experience with managing materials and inventory control within an MRP system
