Supported through dIrect management and overseeing the work of staff responsible for timekeeping, payroll, supplies, staffing and other administrative related tasks. Liaison between departments and other key areas such as Payroll, Finance, Human Resources, Events, Residential Life, etc.Job Description:General responsibilities include, but are not limited to:
  • Supervise and manage Administrative staff with respect to assigning tasks related to timekeeping, payroll, supplies, budget, vendor quotes, etc. Provide direct supervision of day to day assignments, including but not limited to, monitoring work progress, meeting deadlines for payroll and scheduling, conduct performance feedback and evaluations, and perform other areas of management direction and guidance as needed. (hire, fire, discipline, etc.)
  • Administratively support hiring efforts for Community Safety Officers, Dispatchers, Access Attendants, CARES Responders and all Facilities non-management employees to include, for example, scheduling interviews and facilitating with Human Resources.
  • Responsible for entire scheduling, including managing time off requests, vacation, overtime (daily and projected) and special event assignments. This includes staffing for Community Safety Officers, Dispatchers, Access Attendants, CARES Responders and all Facilities non-management employees.
  • Maintain detailed recordkeeping of all scheduling needs, including but not limited to, regular staff planning, identifying available shifts for overtime, contacting staff for overtime requests (in advance or as needed), following correct rotations of offering overtime, documenting outcome of staff availability and accepting/declining overtime assignments, enforcing mandatory overtime of staff, etc.
  • Responsible for staffing CARES and/or Facilities staff for events throughout the college that require additional support. Manage and discuss with department leads on the staffing requirements, as well as planning in advance if additional support from external sources are needed.
  • Primary point of contact for employees regarding all scheduling questions.
  • Participate in management meetings with CARES and Facilities reporting on scheduling updates, projected staffing needs, reporting and monitoring payroll and overtime expenses and explaining overage or outliers.
  • Coordinate with Human Resources on employees regarding extended illness, workers compensation, and leaves of absences to coordinate their leave absence start/end dates, etc.
  • Ensure payroll submissions are submitted in a timely fashion and match scheduled hours, and work with timekeepers to facilitate changes or corrections to employees pay as needed.
  • Familiarize and understand the interpretation of staffing and overtime and other pay factors from the union collective bargaining agreements.
  • Work with staff on uniforms and budget allowances.
  • Manage and oversee the budget for CARES, paying particular attention to overtime expenditures. Oversee and process incoming bills, invoices, purchase orders, expense reimbursements, and membership payments for any of the functions within CARES or Facilities as directed by the Director of Community Safety or AVP for Facilities and Capital Projects.

  • Must be detail-oriented with excellent interpersonal, problem solving oral and written skills, and the ability to communicate effectively with all levels of staff and management, including the ability to relay complex information in a manner understandable to a wide variety of constituencies.
  • Ability to prioritize multiple projects/deliverables and work with a sense of urgency to meet deadlines
  • Strong customer service skills; a welcoming and cooperative manner in working with all levels of faculty, staff and external visitors, including vendors. Ability to collaborate, influence and command the respect and confidence of campus partners and have the capacity to deal with a wide range of relationships and situations
  • Strong organizational skills; evidence of self-motivation; demonstrated ability to plan, schedule and work both independently and in teams.
  • Ability to set priorities and to manage multiple projects and deadlines.
  • High degree of professionalism and discretion in contacts with management and team members.
  • The successful candidate must have sound judgment, with an open and collaborative style that encourages teamwork and cooperation.
  • Excellent computing skills, including experience with a comprehensive HRIS system as well as the Microsoft Office suite of products.
  • Ability to maintain composure and professional demeanor when under pressure.
  • Ability to maintain strict confidentiality and handle sensitive information with discretion and care
  • Ability to take initiative and work with minimal supervisor in a fast paced environment

Qualifications:
  • Bachelor's Degree required; 3-5 years experience with administrative and operational experience.
  • Demonstrated ability to partner and lead an operational function
  • Experience working with both union and non-union employees
  • Must have the ability and willingness to work in an active environment, adapt to a changing needs and support of 24 hour operations.
  • Demonstrated experience communicating and supporting diverse staff.
  • Prior experience with budgets and processing invoices in centralized systems.
Preferred Qualifications:
  • Scheduling and Operations experience
  • Experience in higher education
Hours: 35 Hours a Week - 5 days in office, with option for 1 day remote, subject to change due to operational needs.Salary Range: $80,000 - $85,000 annuallyThe salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training.
